Exhibition Stand Costs at IFEMA Madrid: Budget Checklist

Exhibition stand costs at IFEMA Madrid depend on the fair, your booking package, the allocated plot and the work required. Start with the organiser’s offer and a common supplier brief. A generic price per square metre cannot establish the total cost of your participation.

This guide helps you build a budget and compare quotations. It does not publish a venue tariff or promise a saving: obtain the current prices and conditions for your own event.

Separate the space booking from the stand project

Confirm what the participation offer includes. Space-only bookings, supplied stand packages, registration and other participation items can have different terms. Check the actual plan, open sides, usable dimensions, inclusions and any additional services before commissioning design.

Keep the organiser’s charges distinct from the builder’s proposal. If the builder orders a service on your behalf, ask whether its price includes administration, installation, use during the show and any other applicable charge. Record who receives the confirmation and checks delivery.

Give each line a supplier or owner, quoted amount, tax treatment, payment date and status. Label an allowance as an estimate and list the information needed to replace it with a quote. Keep optional items and refundable amounts identifiable so they are not confused with the final cost.

Why two stand quotations can differ

Send bidders the same brief and ask them to identify assumptions. One proposal may include graphics, installation and furniture while another lists only the structure. The amount of custom fabrication, finish specification, display equipment, transport route and on-site work can also differ.

Compare modular, custom and rental options against the same activities and technical requirements. A local address, a construction label or a bundled total does not establish a fixed saving. Request the actual logistics scope and clarify what would trigger an extra charge.

Check services and deadlines in the current documents

IFEMA’s regulations and support index links to participation rules, vehicle access, technical procedures and exhibitor resources. Use the documents applicable to your event and pass the relevant requirements to your contractors.

Confirm the required electrical supply and installation arrangements from the equipment list. Check connectivity against the demonstration you will run, including any fallback. Review service-order dates, delivery windows, access and additional work with the responsible provider. Do not apply a surcharge percentage or a service price from another fair as though it were your contract.

Reduce avoidable work before reducing useful functions

Agree the design and approved artwork before production. Ask which late changes would require reprinting, refabrication or revised transport. Remove items that do not support a visitor activity, but keep the storage, staffing and equipment needed to operate the stand.

For a multi-show programme, request the cost of adaptations, repairs, packing, storage and transport for each configuration. Compare a screen with printed graphics using rental or purchase, content production, power, mounting and updates. Neither option eliminates every future cost.

Evaluate results without confusing revenue with return

Set participation objectives and the method for recording useful conversations before the show. Afterwards, compare completed actions and attributable commercial results with the full cost and staff time. Revenue is not profit, and an open opportunity is not a completed sale. Use your organisation’s normal financial method and disclose attribution assumptions.

Frequently asked questions

How much does a 20 m² stand at IFEMA cost?

The area alone is insufficient. Request a quote using the plot, event package, design, equipment, services and logistics. Separate construction from the full participation budget.

Are electrical services included in a stand quote?

Check the written inclusions and event package. Identify who orders the required supply and installation, what each price covers and which items remain separate.

What should I ask before approving the budget?

Ask for inclusions, exclusions, taxes, payment terms, responsibilities, dates and change charges. Resolve important assumptions in writing.
