Modular vs Custom Exhibition Stands at IFEMA Madrid: How to Choose

Compare modular and custom exhibition stands for IFEMA Madrid by starting with your products, visitor activities, booked plot and future events. Then request proposals with the same scope. Stand size and annual show count alone do not determine the right construction approach.

Modular, custom and hybrid solutions can suit different requirements. None guarantees a fixed saving, better visitor recall or a higher return on investment.

Modular and custom stands at IFEMA Madrid

A modular stand uses components from a system. Ask the supplier to confirm dimensions, accessories, loads, finishes and reconfiguration options. Systems have different capabilities; a pre-engineered component does not remove the need to check the complete installation.

A custom stand is developed for a particular brief and can address specific product and brand requirements. It remains subject to budget, production, safety and venue conditions. A bespoke design does not have unlimited physical possibilities.

A hybrid proposal combines system components and project-specific elements. Identify which parts will be retained, which will be new and how the assembly will be maintained between events.

Compare the complete programme cost

Cost areaAsk for the same scope in both proposals
First eventDesign, construction or rental, graphics, furniture and equipment.
Services and deliveryPower, data, transport, handling, installation and dismantling.
Later eventsAdaptations, graphic changes, additional components and installations.
Condition and storagePacking, storage, inspection and repairs.
TermsOwnership, taxes, exclusions, payment stages and change charges.

Check what each total includes. Prices for another plot and fixed percentages of the initial build cost do not establish your next-show budget. Any saving depends on available components, their condition, transport and the next event’s requirements.

Assess the layout and presentation

Show reception, displays, demonstrations, meetings and storage with actual dimensions. Assess whether the proposed system supports the necessary access, equipment and circulation. Ask the supplier to explain each limitation rather than relying on the system name.

Brand presentation also depends on graphics, materials, lighting and execution. Compare relevant completed projects. A construction label or photograph cannot establish sales performance or visitor recall.

Test reuse against future floor plans

Collect the dimensions, open sides, products and languages for planned events. Ask how each solution would adapt and which additional pieces would be needed. Assign responsibility for the component inventory, condition checks and repair decisions.

Useful life depends on design, handling, maintenance and changes to your programme. There is no universal promise of eight or fifteen events for every stand. Custom elements may also be designed for reuse when that requirement is included in the brief.

Five questions for the decision

  1. Which products and activities must the layout support?
  2. Which event conditions affect design and installation?
  3. How will the stand adapt to the plots already planned?
  4. What is the complete cost of each alternative?
  5. Who handles maintenance, storage and delivery?

Use your event’s current manual and the information supplied by IFEMA Madrid to confirm applicable conditions. A competitor’s construction choice does not determine what your business needs.

Send an equivalent brief to each supplier

Include the floor plan, current manual, audience, products, activities, equipment, budget range and approval timetable. Add future events if reuse matters. Ask suppliers to explain practical and commercial differences between their proposals.
