Exhibition Stand Fire Certificates: A Material Document Register

By Adam Dragos, Exhibitor Success Specialist · Sources reviewed 12 October 2026

Quick answer: Prepare exhibition stand fire certificates against the actual material specification and intended location. Give every finish a product reference, evidence file and reviewer. Resolve substitutions before purchasing. A generic fire-retardant claim cannot identify which product, application or assembly the evidence covers.

IFEMA material classifications: EFL floors, C-s2,d0 walls and ceilings, class 1 suspended textiles.
Section 19 lists EFL for floors, C-s2,d0 for walls/ceilings and class 1 for suspended textiles under UNE-EN 13773:2003. Check the IFEMA MADRID General Rules (PDF).

Build the register from the finish schedule

Start with the surfaces shown on the approved design. Separate the floor finish, wall panels, ceiling treatment, fabrics and decorative elements. Give each line an identifier that also appears on the relevant drawing or specification. The buyer should be able to trace the ordered item to its evidence without relying on a photograph.

Record manufacturer, product name, reference, thickness or variant, intended use and supplier. Ask the supplier which documents support that exact selection. Keep the full files and their dates; a cropped screenshot of a classification leaves the reviewer without the context needed to assess it.

Material evidence register to copy
Field What to enter Decision it supports
Drawing reference Location and finish identifier Find the installed material
Product identity Manufacturer, product code and variant Match evidence to purchase
Evidence Full document, date and covered application Review the stated performance
Assembly Backing, finish and fixing information requested Check the proposed use
Review status Reviewer, comments and accepted revision Release the correct order
Substitution Replacement, reason and new evidence Control a later change

Ask what the evidence actually covers

Send the technical reviewer the specification alongside the supplier documents. Ask whether the intended use is within their scope and whether further evidence is needed. Record the response against the material line. The exhibitor’s procurement team should not infer an acceptable assembly from a classification label alone.

Pay particular attention when a selected finish will be printed, coated, laminated or combined with another product. Ask the supplier and reviewer what changes in the documentation when the final build differs from the tested or classified description. Keep that answer with the purchase order.

Control substitutions before production

A replacement with a similar colour may have a different product code and supporting documents. Require a replacement proposal to identify the affected drawing, quantity, appearance, evidence and delivery impact. Name the person who can approve it. Keep the original and replacement records so the installation team knows which version to expect.

If the review remains open, show that status clearly in the procurement tracker. Agree an alternative with the designer and technical owner. Avoid describing a pending material as approved in the handover pack, even if its physical sample has been accepted for appearance.

Prepare a usable handover folder

Organise files by register identifier rather than collecting unrelated certificates in one folder. Include the latest finish schedule and a short index. At delivery, compare product labels or supplier references with the register and record any discrepancy for the responsible reviewer.

Keep the final document set available to the person handling venue queries. This workflow helps procurement and traceability; project acceptance still belongs to the relevant organiser, venue and technical reviewers. Apply the rules for the actual event rather than transferring a requirement from another show.

Frequently asked questions

Is a supplier’s “fire-retardant” description enough?

Ask for the evidence covering the exact product and intended application, then obtain the required technical review.

Does a colour match approve a substitute?

No. Record the replacement product and supporting evidence, and obtain the relevant approval before releasing it.
