Modular booth rental should be assessed through a written inventory, event-specific layout and complete service scope. Confirm graphics, furniture, equipment, delivery, installation, specialist services, removal and return arrangements before booking. Rental describes the supply arrangement; it does not mean every service is included or that the package will suit every plot.
What should a modular booth rental include?
The answer is the inventory and service schedule in the actual proposal. Ask the supplier to list the components provided, their configuration, any purpose-made items and all exclusions. A named package or attractive rendering is insufficient if responsibilities for graphics, electricity, transport or removal remain unclear.
Start with the booked plot, event dates and visitor activities. For construction terminology, use our modular booth system guide. Rental and modular construction describe different aspects of the proposal: a modular stand can be rented or owned, and a rental package can include bespoke elements.
Match the inventory to the operating layout
Request a scaled drawing showing the structure, graphic surfaces, counters, storage, furniture, lighting and equipment. Identify dimensions, quantities and specifications. Confirm the supporting product family and which connections or features require specialist work.
Review the stand in use. Show cupboard doors open, seats occupied and staff operating equipment. Include visitor waiting space and replenishment routes where relevant. Do not assume that a fixed module size or a previous layout will satisfy another plot.
| Scope item | Question for the supplier | Written record to request |
|---|---|---|
| Structure and finishes | Which components and surfaces are provided? | Inventory, specification and drawing version |
| Graphics | What is produced, fitted, retained or returned? | Artwork schedule, dimensions and ownership arrangements |
| Furniture and equipment | What exact items, mounts and services are included? | Quantities, specifications and responsibilities |
| Installation and removal | Who delivers, installs, checks and collects? | Dates, access requirements and named providers |
| Return | How are quantities and condition recorded? | Collection process and agreed terms |
Check graphics, messages and equipment
Agree who prepares print-ready artwork, checks dimensions, approves proofs and authorises production. Confirm whether graphic production and fitting are included, what happens to graphics after the event and whether later reuse is practical. Changing a panel size or message may require new artwork and production.
Ask for the actual supplied finish and graphic fixing method. Review branding from the intended approaches and product-viewing positions. Rental does not require accepting a generic appearance, but any adaptations need an agreed design, price and delivery plan.
For screens, demonstrations and interactive content, identify the equipment, supports, power, connectivity, content and operator. Test the intended use and agree a fallback for equipment or network failure. A screen shown in a rendering does not establish that the rental includes it or that the wall can carry it.
Separate the stand package from venue services
Confirm which services must be ordered through the organiser or appointed providers. Check the current event and hall requirements for electrical work, internet, rigging, cleaning, waste, handling and other relevant services. Assign an owner, payer and deadline to each order.
As a specific illustration of why package assumptions are unreliable, the BOA Annual Congress 2026 shell-scheme manual excludes furniture. That event’s package does not define the contents of a modular rental quotation; use the supplier’s written scope for your project.
Check technical documents and approval responsibilities. IFEMA MADRID’s regulations resources are a starting point for its venue requirements. Confirm the actual event edition, hall and design rather than applying generic height or installation assumptions.
Review delivery, handover and support
State the event location, delivery access, installation window, opening time and removal window in the proposal. Ask who arranges transport, unloading, handling, empty packaging and collection. Clarify any dependencies on credentials, service orders or exhibitor access.
Confirm the competent installation team and required tools for the specified system. Do not rely on a universal assembly-time claim. A suitable plan depends on the layout, services, site access, crew and work required.
Agree the handover checklist and who can accept delivery. Check supplied items against the inventory, photograph existing defects where appropriate, test equipment and record unresolved actions with an owner. Obtain contact details and the agreed support scope for event hours.
Read the terms for changes, condition and return
Ask the supplier to explain the actual booking terms for changes, cancellations, delayed access, damaged or missing items, deposits and collection. Identify where a charge could arise, how it is calculated under the proposed terms and who authorises additional work. Record unresolved points before accepting the proposal.
Clarify whether exhibitors may attach products, graphics or accessories and which fixing methods are permitted. Get suitable support arrangements reviewed rather than modifying rental components on site. Assign responsibility for consumables, replacements and graphic removal.
Before the exhibition ends, confirm the return inventory, dismantling provider, collection window and packaging responsibilities. Compare the condition and quantities with the delivery record. Agree how discrepancies are reported and who remains available until collection is complete.
These checks help make the scope understandable; they do not replace the actual supplier agreement. Keep the accepted quotation, drawings, terms and subsequent changes together so the delivery team uses the current version.
Compare the complete rental cost with alternatives
Include rental, design adaptations, graphics, furniture, AV, services, freight, handling, installation, dismantling and return where applicable. List exclusions and provisional amounts. Check organiser deadlines and any applicable late charges in current event documents.
For multiple shows, request a programme comparison using the same layouts, activities, services and graphic changes. Compare ownership costs such as packing, storage, repairs, replacements and future modifications with a comparable rental scope. There is no universal event count or percentage saving that makes rental preferable.
Use our stand proposal comparison guide to keep the brief consistent. Availability, cancellation flexibility and changing event requirements can matter alongside the quoted price; ask the supplier to state the actual arrangements.
Assess reuse through evidence
Ask what happens to the supplied structure, graphics, packaging and purpose-made items after return. Request evidence for any environmental claim. Repeated rental use can be documented, but it does not automatically demonstrate lower overall emissions or waste for a particular project.
Record the items you expect to retain and the supplier’s recovery responsibilities. Avoid describing the whole stand as certified or recyclable solely because one material has a label or a theoretical recycling route.
Questions before booking modular booth rental
Is electricity, furniture and installation always included?
No. Check the inventory, service schedule and exclusions for your actual quotation. Confirm equipment specifications, service orders, responsible providers and charges in writing.
Can a rental stand change size between events?
Only where the supplier can provide the appropriate components and reviewed layout. Request drawings, additional inventory, new graphic requirements, availability and prices for each planned configuration.
What should I send for a rental proposal?
Send Adam Expo Stand the event dates, plot drawing, visitor activities, products, equipment, graphic needs and required services through the project enquiry form. Request a complete inventory, layout, responsibilities, terms and itemised quotation.
