Trade Show Live Demo Checklist: Internet and Backup Plan

A reliable trade show live demo needs a tested end-to-end workflow, a venue-approved connection, prepared presentation equipment and a fallback that staff can start immediately. A fast internet connection alone cannot prevent an expired login, broken adapter or unavailable cloud service. Plan the complete visitor experience before the stand opens.

Start with a one-page trade show live demo brief

Write the task the visitor will see, the intended duration, the operator and the next action. List the laptop, player, screen, adapters, audio, software version and online dependencies. Assign an owner to every item. Separate equipment supplied by the stand builder from equipment brought by your product team.

Use a controlled demonstration account and approved sample data. Avoid exposing customer information, administrator interfaces or personal notifications on a public display. Decide who can reset the demonstration and who can approve changes to the content.

Order connectivity for the workflow

Tell the venue or official connectivity supplier how many devices will connect and what they need to do. Discuss upload as well as download, authentication, VPN requirements, live video and any specialist configuration. Request the relevant service specification rather than assuming a visitor Wi-Fi connection is suitable.

Fira de Barcelona’s Montjuïc technical regulations describe restrictions and authorisation for exhibitor Wi-Fi networks and recommend contacting its communications department or contracting wired service when internet is essential. Check your own event and venue manual: this example does not establish the rules for every hall or event. IFEMA MADRID also offers IT and connectivity services for exhibitors.

Build a fallback ladder

Illustrative recovery options to adapt to your product
Problem Prepared alternative Owner
Cloud or network unavailable Approved offline demo or locally stored recording Product lead
Live account cannot log in Tested recovery procedure or approved sample walkthrough Demo operator
Screen or cable fails Tested spare connection or presentation on the demo laptop AV contact
Visitor needs a deeper session Book a follow-up with the appropriate specialist Sales contact

A recording should explain the same useful task as the live demonstration. Label it as a recording so visitors know what they are seeing. Store it locally in a tested format and confirm that software licences allow offline use. Do not depend on a second streaming link as your only backup.

Rehearse on the equipment you will use

  1. Test the full workflow with the actual laptop, display, adapters and audio.
  2. Check text size and captions from the visitor’s position, including seated viewing where relevant.
  3. Verify accounts, permissions and any planned software updates before travel.
  4. Run the planned number of concurrent demonstrations.
  5. Practise a controlled loss of connectivity and switching to the fallback.
  6. Check restart, power-up and session reset without leaving private content on screen.
  7. Record support contacts, service references and escalation responsibilities.
  8. Repeat a short functional check at handover and before each show day.

Live demo questions

Should I bring a Wi-Fi router?

Ask the venue first. Exhibitor networks and wireless equipment may require authorisation or specific configuration. A purchased router does not create permission to use it.

Is a mobile hotspot a sufficient backup?

Only if permitted and tested in the actual conditions. Coverage, congestion, roaming and device restrictions can make it unsuitable. Keep an offline communication option as well.

Who should own the recovery plan?

Name a demo lead and a deputy. They should know the reset steps, approved fallback and technical support route, while the stand team handles agreed infrastructure responsibilities.

Connect the demo plan to the stand design

Plan operator access, cable routes, waiting space and meeting areas with the interactive stand features. Review the handover checks and send Adam Expo Stand your demo brief to coordinate the agreed design, AV and installation scope.
