Quick answer: For exhibition stand rigging, agree the suspended element, its complete weight, position, support arrangement and approval route before production. A visual concept cannot confirm that ceiling points are available. Keep the technical approval, venue service order and installation responsibilities in one record.

What belongs in a suspended-sign brief?
Give the designer the booked floor plan, hall, stand number and open sides. Mark the proposed sign in plan and elevation, with its dimensions and intended height. Identify which face must be visible from each approach and whether neighbouring displays affect the sightline.
Ask the responsible technical provider to account for every suspended component, including the supporting structure and attached equipment. Name who verifies weights, calculates reactions and checks the proposed arrangement. Dividing the total weight equally between points is not a substitute for the required engineering assessment.
Keep approval and purchasing together
The IFEMA Madrid rigging regulations request scaled plans, component weights and the load transferred at each hanging point. Section 5 sets submission one month before assembly and a decision period of seven days from receipt. Treat these as that venue’s published procedure, then check your event’s current instructions.
Use a tracker with the submitted revision, reviewer comments, responsible person and next action. Reserve production against a clearly identified approved version. A paid service order, accepted graphic or attractive render should not be recorded as technical approval.
| Decision | Record | Owner to name |
|---|---|---|
| Design | Dimensions, position, height and graphic faces | Exhibitor and designer |
| Engineering | Complete weights, point reactions and supporting documents | Competent technical provider |
| Venue coordination | Point availability, submission and comments | Venue liaison |
| Commercial scope | Points, lifting, access, inspection and removal | Purchasing lead |
| Installation | Approved revision, sequence and handover evidence | Installation lead |
Compare quotations by responsibility
Ask each quotation to identify which rigging services it covers. Clarify the supply of hanging points, lifting equipment, access equipment, technical submissions, inspections, installation and removal. Confirm who coordinates each interface with the venue and what happens if the requested point layout is unavailable.
Keep lighting, screens and other proposed additions in the same change record. Late equipment substitutions can affect more than the artwork. Pass every proposed physical change to the technical owner before ordering it; agree any resulting cost and programme change in writing.
Prepare a ground-supported alternative
If the approval or point availability remains unresolved, ask the designer for a suitable alternative within the stand rules. Check the changed footprint, sightlines and technical requirements. Do not assume that a freestanding replacement is automatically permitted or structurally suitable.
At handover, retain the approved plans and the installation records supplied for the project. The exhibitor team should know whom to contact if something changes. Staff should report a concern and keep clear of affected areas, rather than adjust overhead components themselves.

Frequently asked questions
Can the render confirm my rigging permission?
No. Obtain the applicable technical approval and confirmed venue arrangements for the proposed installation.
Does a lighter graphic remove every requirement?
No. Ask the venue and technical provider which requirements apply to the complete arrangement. Do not infer an exemption from the fabric weight alone.
