FITUR 2027: participation formats and stand planning

Reviewed on . Event facts are linked to IFEMA. Layout suggestions below are planning examples, not official participation packages.

Quick answer: confirm participation before designing the stand

FITUR 2027 is scheduled for 20–24 January 2027 at IFEMA Madrid. Before choosing a stand, confirm your participation format, allocated space and included equipment with the organiser. A specialist forum, an exhibition package and a shared destination pavilion can have different conditions. Your company type alone does not determine a programme, stand size or construction budget.

Request a FITUR stand proposal with your confirmed plot plan, participation conditions, objectives and budget.

FITUR 2027: facts and participation formats

The official FITUR website lists the next edition for 20–24 January 2027 and identifies Puerto Rico as its partner. Consult the official exhibitor page for participation documents and the application route. Check the edition shown on each document before using it.

Keep three decisions separate: whether and how you can participate; what space or package is confirmed; and what your stand must do. You might be booking an individual plot, joining a destination pavilion or taking part in a specialist activity. Do not commission a free-build stand until you know whether your contract permits one and what the organiser already supplies.

Ask for a written plot or package specification covering dimensions, open sides, included structure, branding permissions and technical provisions. Pass it to your stand designer together with the relevant rules. For local project delivery, see our Madrid exhibition stand building service.

How to interpret FITUR’s specialist areas

FITUR’s website lists specialist areas such as TechY, Know-How & Export, 4all, Screen, Sports, Cruises, LGBT+, Lingua, Talent, Woman and Experience. Their names help you investigate relevant content and contacts; they do not establish that every business can book the same type of stand in each area.

Area to investigate What to verify with the organiser Input for your stand brief
TechY Available participation, demonstration or partnership formats for the edition. Which products can be demonstrated, who will operate them and what equipment is included.
Know-How & Export Eligibility, package, branding permissions and exhibition provision. What can be added to the supplied setup and what must be ordered separately.
Other specialist areas The activity, admission conditions, allocated space and current rules. The actual visitor activity: conversation, demonstration, screening, presentation or meeting.
General exhibition or shared pavilion Plot allocation or the pavilion organiser’s specification and partner agreement. Shared branding, appointment capacity, storage and responsibilities.

This table is a checklist for enquiry, not an allocation rule. A technology provider or tourism board should confirm the relevant route rather than infer eligibility from its business label.

Travel technology: forums and demonstration space

IFEMA describes TechY through tourism innovation and technology, including thematic forums and an innovation showcase. At this review, parts of that page still describe the 2026 edition. Use it for context and obtain the current participation specification before treating it as a 2027 stand package. It does not justify a universal 9–12 m² startup stand rule.

Know-How & Export’s official page covers tourism innovation, digital transformation and suppliers of related solutions. It lists sectors including technology development, e-commerce, marketing and consultancy, and describes a package with a subsidised 5 m² exhibition area. Confirm which edition and offer apply to your application. It is not a general rule assigning tourism boards to large institutional stands.

How to brief a product demonstration

Once your space is confirmed, list the equipment, power and connectivity needed for one complete demonstration. Decide where visitors watch, where the presenter stands and where the next conversation takes place. Plan a backup demonstration that works if the live connection fails. Check sound, screen placement and branding against the actual package conditions.

A compact demo counter can be an option to compare, but staff numbers do not establish its footprint. Test the layout with your equipment dimensions and expected simultaneous conversations. Provide a way to continue a longer discussion without blocking the demonstration.

Quick check: are you ready to brief a stand designer?

A travel-tech company wants to demonstrate its product at FITUR. What should it confirm first?

Tourism boards and shared destination pavilions

A destination management organisation or tourism board may need a shared pavilion, an individual stand or another agreed participation format. Confirm this with FITUR and, where relevant, the organisation coordinating your pavilion. Do not assume that Know-How & Export is the default institutional pavilion route.

Build a shared brief around the work partners must perform. List concurrent appointments, delegates per meeting, display material, languages and storage needs. Agree who approves the common identity and each partner’s graphics. For a pavilion, document how reception directs visitors and how meeting areas are booked.

Illustrative capacity exercise: two simultaneous appointments with four people each require eight meeting seats, plus room for circulation and any reception activity. This is a functional requirement, not a prescribed floor area. Ask the designer to test it against the allocated plot and applicable rules before approving the layout.

Use our country pavilion planning guide to frame questions about partner coordination. Have the pavilion organiser confirm its specific inclusions, approvals and costs in writing.

Design around visitor activities

The practical design question is what visitors and staff will do in the space. The following are suggestions for the brief, not official requirements of a FITUR specialist area.

  • Accessible conversations: consider routes, seating, reachable information and service points usable by different visitors. Review the layout with the relevant users and technical team.
  • Destination or film presentations: specify viewing positions, screen visibility, captions, audio management and rights to the content being shown.
  • Sports or activity products: identify dimensions, weight and handling needs before proposing display or demonstration zones.
  • Networking: separate reception from longer conversations and give staff a clear method for booking follow-up appointments.
  • Shared branding: decide what visitors should recognise from the aisle and where individual partners appear at closer range.

Compare a modular and a custom proposal against the same activities. A programme name by itself does not determine the construction method. Ask for layouts and scope descriptions that make the trade-offs visible.

Budget and approval schedule

Request an itemised quote for the confirmed space and participation format. Keep organiser charges separate from stand production, transport, installation, dismantling and additional technical services. If a package supplies walls, graphics or furniture, identify those inclusions before commissioning extras.

Use the Europe exhibition stand budget guide to organise cost categories. A programme label does not substantiate a construction rate, venue fee or delivery time. For an actionable quote, supply the current participation documents, equipment list and required delivery date.

  1. Confirm participation: obtain the package or plot specification and relevant rules.
  2. Approve the brief: name a decision-maker and gather partner requirements.
  3. Approve layout and scope: check functionality, inclusions and responsibilities.
  4. Complete technical and graphic approvals: work back from the organiser’s actual deadlines.
  5. Release production and delivery: agree access, installation, handover and dismantling with the suppliers involved.

For shared pavilions, set a single deadline for partner feedback and a process for changes after approval. Ask the builder for a schedule based on the actual project. Do not treat a generic number of weeks as a delivery promise.

A briefing checklist for your situation

  • Technology supplier: describe the demonstration, equipment, connection needs and follow-up process; attach the confirmed participation conditions.
  • Destination delegation: list partner identities, simultaneous meetings, staff and shared services; identify the approving organisation.
  • First-time exhibitor: confirm eligibility, space, included equipment, permitted branding and who orders external services.
  • Specialist activity participant: distinguish the activity agreement from any separate exhibition space you have contracted.

Send your FITUR stand brief to Adam Expo Stand for a proposal based on your confirmed requirements. Space allocation and programme admission remain decisions for the organiser.

Meetings, handover and follow-up

Match the reception process to the work planned in the stand. For demonstrations, record the product discussed and an agreed next step. For scheduled appointments, identify the host and meeting location. Keep the public appointment display free of private contact details.

Before the show opens, check equipment, graphics, storage, meeting furniture and staff roles against the approved brief. Agree how to report faults and where spare materials are kept. After the event, assign follow-up actions to a named owner and review qualified conversations and completed next steps alongside the total cost.

Frequently asked questions

When is FITUR 2027?

IFEMA lists 20–24 January 2027. Check the official event website and your exhibitor documentation for current access, activities and working schedules.

Is TechY automatically the right stand package for a startup?

No. Investigate the current participation options and confirm eligibility and provision with the organiser. A technology-focused activity and a bookable exhibition package are different questions.

Is Know-How & Export a large tourism-board pavilion programme?

Do not use that assumption to book or brief a stand. Its official page describes tourism innovation and related business solutions. Tourism boards should confirm their exhibition or shared-pavilion arrangement separately.

What determines my stand size and cost?

The contracted space, included equipment, planned activities, technical needs and delivery scope. Ask for an itemised proposal rather than applying a fixed size or price from a programme name.

Can I customise a supplied package?

Ask the organiser which changes are permitted and who provides each element. Send the written specification to the builder before requesting additional graphics, furniture or construction.
