Turnkey Booth Solutions: Scope, Costs and Handover

Turnkey booth solutions combine agreed stand design and delivery services under a coordinated project scope. The term does not define every inclusion or guarantee a financial return. Compare the specification, service boundaries, responsibilities, handover and removal arrangements before selecting a provider. A single project contact is useful when the underlying work and dependencies are clear.

Turnkey booth solutions: define what is included

Start with your event and edition, allocated plot, exhibit dimensions, activities, team and budget scope. Ask the supplier to identify design, production, graphics, furniture, equipment, transport, installation, support and dismantling separately. Establish what you own, hire or supply.

A turnkey service can use custom construction, modular components or a combination. It is a delivery arrangement rather than a competing physical stand type. An elaborate custom project can have coordinated delivery, while a modular package can still leave particular orders or tasks with the exhibitor.

The Messe Frankfurt services information illustrates the distinction between construction, equipment, logistics and technical resources. Check the current event conditions and the actual orders. Describing a stand as turnkey does not make all venue or organiser services part of the supplier’s price.

Agree the process from concept to production

Request a dimensioned layout, visual concept and itemised specification. Review the intended product presentation and meetings with people and equipment marked on the plan. Identify missing exhibit dimensions, provisional content or conditional features before accepting the design.

Use the current event manual to establish technical requirements, required documents and competent reviewers. A supplier’s internal assessment does not replace organiser or venue acceptance where it is required. Record the response and its conditions before dependent work proceeds.

Agree dates for design decisions, artwork, service orders, production, shipment and handover using the confirmed project schedule. Define how changes affect price and timing and who can authorise them. Do not assume a package has unlimited revisions or that a standard timetable applies to every event.

Test equipment and presentation before opening

Specify screens, lighting, software, content and connection requirements. Identify who supplies licences and prepares the final demonstration. Rehearse the complete task on the actual equipment, including startup, completion, reset and an appropriate fallback.

For contact capture, agree the process, information needed, staff handover and follow-up owner. Do not assume a display package includes a working CRM connection or that scanned contacts are automatically qualified. Any proposed integration needs its own scope, test and responsible owner.

Plan the transition from product discussion to an agreed next step. A visitor conversation is not evidence of a measured return.

Compare coordinated delivery with internal management

Consider your team’s capacity to brief suppliers, place orders, coordinate freight, inspect work and resolve issues. A coordinated service may reduce the number of interfaces you manage directly, but the work still needs clear owners. Ask which tasks are subcontracted and how communication and escalation are handled.

If managing delivery internally, confirm the competent people, available time, equipment and permitted work. The lowest construction price is not a complete comparison when it excludes installation or services. Conversely, an extensive package is not automatically the right value if it includes features you do not need.

Compare full costs and reuse conditions

Include design, production, equipment, content, transport, handling, installation, support, removal, storage and applicable venue services. Keep space rental and team participation costs visible when assessing the wider event. Record taxes, estimates, exclusions, payment milestones and cancellation terms.

For repeat use, establish component ownership, inventory, condition, packaging and the configurations needed at later events. Include repairs, new graphics, transport and adaptation. A modular or turnkey label alone cannot establish a fixed saving or environmental benefit. The European budget guide helps organise an equivalent-scope comparison.

Set acceptance and close-out checks

At handover, inspect the agreed finish and inventory, test equipment and walk through the visitor activity. Record defects or incomplete work with an owner and completion time. Confirm support availability and the escalation contact before staff begin using the stand.

After closing, coordinate product collection, rental returns and retained material. Keep the condition record and final cost reconciliation. Review operational delivery separately from qualified discussions, opportunities and confirmed commercial outcomes. There is no supported universal promise of 20× return or a particular lead uplift from a turnkey service.
