MOTORTEC Exhibition Stand: Products, Demos and Delivery

A MOTORTEC exhibition stand should make an aftermarket product easy to inspect, explain and discuss with the right buyer. Start with your booked plot, the equipment or samples you will bring, and the conversations you want to support. Then connect the layout to approved services, transport, installation and a practical handover plan.

MOTORTEC exhibition stand planning for Madrid 2027

MOTORTEC at IFEMA Madrid takes place on 7–10 April 2027. Use the current event name when briefing suppliers. Historical attendance figures and programmes from earlier editions do not establish the audience, exhibitor count or activities for the next edition. Your confirmed hall and stand allocation should drive the project.

An automotive aftermarket stand can serve very different jobs. A distributor may need to compare parts and discuss territories. A diagnostic supplier may need a controlled demonstration. A workshop equipment company may need to explain access, installation and service. Set one main visitor task before deciding how much floor area to reserve for each activity.

Turn products into a workable demonstration brief

Prepare a product schedule rather than sending a catalogue and asking the designer to choose. Identify the exact items, their dimensions, weight, handling points and presentation method. Mark which are working equipment, static exhibits or representative samples. A photograph alone rarely tells the installation team what it needs to move or support.

Exhibit Useful visitor activity Layout and delivery questions
Parts and components Compare applications, dimensions or replacement options Which samples need secure display, staff handling or replenishment?
Diagnostic tools and software Follow a prepared fault-finding or workflow example What test equipment, screen positions, connections and fictional data are needed?
Workshop machinery Inspect a static machine or observe an authorised demonstration What are the operating envelope, support, lifting and competent supervision requirements?
Tyres, batteries and accessories Discuss fitment, specifications and distribution How will samples be supported, secured and removed?
Lubricants and workshop consumables Compare packaged products and intended applications Are products sealed, and what storage or handling conditions need review?
Management and service providers Explore a workflow or commercial partnership Can a demonstration and a business conversation happen without sharing a screen?

Choose a demonstration that helps answer a real buying question. If a working machine adds complexity without helping the conversation, a static exhibit, sample, recorded sequence or technical drawing may serve the purpose. Ask the responsible technical specialists and organiser to review the proposed activity before promising it in invitations.

Choose construction around the booked package

The current MOTORTEC exhibitor guide distinguishes space-only projects from furnished packages, with minimum areas of 32 m² and 16 m² respectively. Check the actual contract and current revision before committing to a layout. The guide also requires design review before construction and treats packing storage separately.

A package can suit an exhibitor whose priority is a compact display and meetings. Check the permitted graphics, fixings, furniture and services before ordering additions. Space only gives responsibility for a wider construction scope; it does not remove restrictions on structures, neighbouring visibility or services.

A reusable modular system may suit a programme with compatible plots and storage arrangements. A bespoke structure may suit an unusual exhibit or meeting arrangement. Compare both against the same product schedule and future events. Our modular and custom stand guide explains the practical trade-offs.

Make circulation and conversations part of the drawing

Place the first explanation where visitors can see what the product does without blocking people who want to enter. Keep staff access to display cabinets and technical equipment clear. A busy demonstration should have a defined viewing area within the plot rather than depending on an aisle as overflow space.

Give the meeting area a different job from the demonstration point. Buyers may want to discuss stock, distribution, compatibility, support or territory. Provide space for the relevant team member, samples and a useful drawing or screen. Where several brands share the stand, make ownership and reception routing clear so visitors reach the right representative.

Review the plan at realistic scale with chairs pulled out, doors open and visitors looking at exhibits. Include somewhere for personal belongings, sales material and replacement samples. These small items otherwise occupy the meeting table or obscure the display when the show opens.

Coordinate the current calendar and approvals

Use the organiser’s exhibitor resources and your current portal instructions for the operative timetable. The published guide separates build, modular handover, goods movements and dismantling. Some details differ within the published material, so obtain written clarification for the times and deadlines that affect your booking.

Work backwards from approved access and handover. List the project submission, revisions, artwork approval, production, service orders, freight, installation, equipment arrival and testing. Assign an owner and evidence of completion to each. A general recommendation to book a builder a fixed number of weeks ahead cannot replace the organiser’s deadlines.

For each machine, establish who unloads it, how it reaches its final position and when the stand must be ready to receive it. Reserve the necessary handling through the appropriate provider. Agree where empty packing will go and how it will return for collection. An installation quote and a freight booking should describe the same sequence.

Compare the complete MOTORTEC exhibition stand cost

Separate the organiser’s space and participation charges from stand design, construction and installation. Add the actual service orders, graphics, furniture, audiovisual equipment, handling, transport, storage, dismantling and waste arrangements. Show exclusions and provisional allowances beside the price rather than leaving them to a general terms page.

Compare quotations using an identical scope. Ask who prepares submission drawings, who books services, who supplies technical documentation and who answers site queries. If suppliers or partners share delivery, identify the project lead and the responsibility of each participant. A supplier’s address alone does not establish capability, customs responsibility or accountability.

Assess reuse with a real next event: plot shape, transport volume, repairs, graphics changes and storage. Reusing components can be useful, but neither a three-show payback nor a percentage saving follows automatically. The stand budgeting guide offers a scope checklist for comparing proposals.

Prepare meetings and follow-up

Make invitations specific to the product or application you can discuss. Use the organiser’s available networking tools alongside your own confirmed appointments. Allocate time for spontaneous enquiries without displacing booked meetings. Prepare a short explanation that identifies the product, intended customer and next useful step.

Record the visitor’s stated need, relevant product, territory or project and agreed next action. A scanned badge is a contact record, not proof of a qualified opportunity. Assign follow-up to someone who can answer the technical or commercial question, and handle personal data under your applicable notice and lawful basis.

Frequently asked questions

When and where is MOTORTEC 2027?

MOTORTEC takes place at IFEMA Madrid on 7–10 April 2027. Confirm your allocated hall and the operative access times with the organiser before booking transport or staff movements.

Can every product be demonstrated live?

No. The activity depends on the equipment, services, safety review and organiser’s approval. Agree a suitable static or recorded alternative if a working demonstration is not appropriate.

Are package prices the full cost of exhibiting?

Check the contracted inclusions and additional participation, service, transport and staffing costs. A published package price should not be presented as the complete project budget.

What should a builder receive first?

Send the confirmed plot, package details, current organiser documents, product schedule, demonstration requirements, meeting needs and budget scope. Identify the person who can approve decisions and supply technical information.
