Sustainable Expo Stands: Brief, Materials and Evidence

Sustainable expo stands need a defined environmental brief and evidence for the choices made. Specify which components will be retained, what product information suppliers must provide, how equipment will operate and what happens after dismantling. Compare those arrangements alongside visitor activities, technical requirements and complete programme costs.

A natural-looking finish, recycled material or digital display does not establish the environmental performance of an entire stand. Set specific targets and assign responsibility for collecting the records needed to assess them.

Write a measurable brief for sustainable expo stands

Start with the booked space, products, demonstrations, meeting needs and event programme. Identify what is already available from your inventory or organiser package. Check whether an existing display can answer the brief before commissioning replacements.

Define the intended improvement: retaining specified frames, reducing newly produced panels, keeping graphics suitable for later use or establishing a documented recovery route. State the comparison and measurement basis if you plan to report a reduction. Avoid presenting every material choice as a measured carbon result.

The IFEMA MADRID sustainable participation guide provides useful planning references. Use it with supplier documentation and current event instructions; it does not certify the environmental result of your project.

Compare construction options by component

Custom, modular, portable and rental describe different design or commercial arrangements. They do not form a universal environmental ranking. A custom product fixture can be retained, while a modular wall may need new graphics and fittings for another layout.

OptionQuestion for the supplier
Retained modular componentsWhich parts fit the next booked footprint, and what must be added or changed?
Custom displaysCan they be separated, packed, repaired and used for the next product brief?
Rental itemsWhat inventory is supplied, who retains it and what are the return conditions?
Digital contentWhat visitor task does it serve, and what equipment, energy and support does it require?

Ask for drawings, a component inventory and the proposed assembly method. Confirm dimensions, connections, condition and permitted uses. Flexible construction still needs a technical review for its actual configuration and event requirements.

Request evidence for the materials actually supplied

For panels, frames, flooring and graphics, obtain the product name, composition, finish, relevant performance information and handling instructions. Request evidence for recycled content or certification when those properties form part of the order.

FSC chain-of-custody information explains traceability of forest-based materials. Match the claim and supply documentation to the actual product. A supplier’s logo does not demonstrate that every component in a stand carries the same claim.

Check adhesives, coatings, print and mixed-material construction when planning recovery. “Biodegradable” does not tell you which collection or processing facility can accept the finished item. Confirm an available route and the conditions of acceptance before relying on the label.

New composites, glass products and fabrication methods require the same scrutiny as familiar products. Ask what they do in the actual design, what documentation supports that use and how they will be maintained or recovered. Innovation alone is not evidence of a smaller environmental impact.

Plan energy and logistics from actual requirements

Select lighting and screens for product visibility, reading and visitor activities. Compare specified equipment, connected loads, operating hours and any measurement arrangements. Digital graphics can avoid some printing while introducing equipment, electricity and content-management requirements.

Solar equipment needs its own suitability and installation assessment. Its presence in a hall does not establish a useful energy contribution. Review all proposed equipment with the responsible supplier and event team, including permissions and power arrangements.

Obtain packed dimensions, weights, routes and handling requirements. Lower shipment weight does not automatically eliminate a vehicle journey or reduce a fixed transport charge. Keep records appropriate to any logistics or emissions claim you intend to make.

Give retained items a next-use plan

Identify the owner and destination of each retained component after dismantling. Agree disassembly, protective packing, collection, storage conditions, inspection and repairs. Record dimensions and connections so the next layout can be checked.

Keep graphics only when their condition, size, language and message remain suitable. Confirm how updates attach to retained frames. Ask who approves repair expenditure and what happens if the next event is cancelled or the configuration changes.

Record items discarded, material types and the receiving operator where evidence is available. Recycling instructions must match the finished material and event arrangements. A planned recovery route and a completed collection record are different evidence.

Compare cost and outcomes separately

Obtain equivalent quotations covering design, products, graphics, transport, handling, labour, storage, repairs and return arrangements for the same programme. Include relevant services and taxes consistently. There is no fixed price premium, saving percentage or payback period for sustainable expo stands.

Review commercial outcomes using your agreed event measurement process. Material reuse does not prove stronger brand recall, more leads or increased sales. A visitor-facing explanation should describe the specific documented action rather than promise a general performance advantage.

Check current event and product requirements

Use the applicable event manual and venue documents, such as IFEMA regulations or Fira participation regulations. Confirm which technical documents apply to the booked hall and activities. General environmental guidance does not replace required material, electrical or structural checks.

Frequently asked questions

Which materials are most sustainable?

Compare the actual products and their documented sourcing, performance, reuse and recovery arrangements. A broad material name cannot settle the whole-project comparison.

Are modular stands automatically sustainable?

No. Check configuration suitability, condition, actual repeated use, logistics and replacements. Modular construction is one option within a documented programme.

What information should an exhibitor provide?

Send the booked plot, activities, event calendar, retained inventory and procurement requirements. Request availability, scope, complete costs and evidence responsibilities in writing.
