Exhibition Stand Dismantling: Access, Collection and Handover

Exhibition stand dismantling needs an agreed work plan, confirmed event access times, competent people, suitable packaging and booked collection. The show closing time does not automatically authorise structural work or vehicle entry. Plan the return journey and the empty plot handover before the stand is built.

Use this guide to prepare the briefing and check responsibilities. The contractor responsible for the structure and installations must determine the safe dismantling method for the actual stand; a general article cannot provide that method.

Confirm the event’s dismantling windows

Record the event, edition, venue, hall and plot number. Obtain the current exhibitor manual, relevant technical rules and logistics instructions. Check whether removal of merchandise, structural dismantling and vehicle access have different permissions or hours. Send the confirmed information to the stand contractor, freight company, equipment suppliers and your own team.

For events within their scope, IFEMA MADRID’s general rules put dismantling dates and working hours in the event’s specific rules. They also address removal of materials and charges for items left after deadlines. Check the applicable event documents and service catalogue rather than using a universal timetable or fee.

Fira’s Montjuïc technical regulations distinguish stand breakdown from merchandise shipment and allow different breakdown periods by hall. That document concerns Montjuïc; select the relevant venue through Fira’s regulations directory for another location.

Agree the scope before the event

A stand construction quote does not establish every return responsibility unless its scope says so. Ask who removes rented equipment, packs exhibits, dismantles the stand, handles waste, loads the vehicle, transports components, receives them into storage and confirms the plot is clear.

Name one coordinator who can resolve dependencies, with a contact and deputy for each supplier. Subcontracted work needs clear accountability and suitable evidence of competence, just as work delivered by the main supplier does.

Prepare a sequence for the actual stand

Have the responsible contractor explain the sequence and its dependencies before opening day. Identify which items can be packed by the exhibitor and which need specialist handling, service isolation, access equipment or structural supervision. Do not assume the assembly order can simply be reversed.

Protect the working area and keep circulation and emergency routes clear under the event arrangements. Do not start dismantling around visitors because a collection vehicle has arrived early. Confirm that the relevant phase is authorised and that the work area is ready.

Electrical disconnection, lifting and removal of structural or suspended elements belong with the competent providers responsible for those tasks. Staff should not improvise those operations from a generic checklist. Report a missing provider, unsafe condition or changed sequence to the coordinator before dependent work proceeds.

Make packaging and inventory usable

List owned, hired, borrowed and disposable items separately. Identify return destinations, supplier references and packaging requirements. Photograph condition where appropriate and permitted, and label reusable components so the receiving team can identify them without reconstructing the whole stand.

Confirm where empty cases are stored and when they will return. A packing plan fails if cases are inaccessible during the collection window. Arrange suitable protection for graphics, samples and equipment, and identify damaged items for inspection rather than silently returning them to usable stock.

Keep responsibility for valuables explicit until a documented handover. Venue security arrangements and your supplier contract do not by themselves prove that loss is insured. Review the relevant cover and reporting requirements with the responsible insurance contact.

Coordinate collection and loading

Book the freight company’s access against the confirmed event logistics instructions. Provide vehicle details, collection contact, expected volume, handling needs, packaging and destination. Establish how the driver will be told that the load is ready and what happens if the booking or work sequence changes.

Check responsibility for loading and unloading at both ends. Include any required lifting service, waiting, rebooking or storage arrangement in the quote. A small stand does not automatically receive priority, and an exhibitor pass does not necessarily authorise every vehicle or contractor.

Plan waste and final handover

Decide what will be reused, returned, repaired or discarded before dismantling starts. Confirm the permitted waste streams, collection services and handling requirements with the event. Include packaging and flooring as well as the visible stand structure.

Ask for current charges and the consequences of missing the clearance deadline. Do not present an old container price as the cost of the whole operation. Record who checks the empty plot, how damage or remaining items are documented and who receives the completion record.

Budget the complete return operation

Compare labour, specialist work, access equipment, packing, freight, waiting, waste, storage, inspection and repair on the same scope. State assumptions and exclusions. The contractor should assess duration and crew size from the design, method, site and available window; neither square metres nor a modular/custom label establishes those figures alone.

Frequently asked questions

Can dismantling begin as soon as the show closes?

Only as permitted by the current event instructions for the relevant activity. Confirm merchandise removal, structural work and vehicle access separately.

Is a modular stand always faster to dismantle?

No universal ranking is reliable. Components, connections, finishes, equipment, packaging, crew and site access determine the actual operation.

Can I request additional time?

Ask the organiser about the applicable approval process, availability and charges. Treat extra time as unconfirmed until authorised.

What should I send a stand supplier?

Send the event instructions, stand information, inventory, collection needs and return destinations. Request an itemised dismantling scope with named responsibilities and a clear handover.
