15 Exhibition Stand Design Ideas: Activities and Practical Checks

Choose exhibition stand design ideas by the visitor activity they support, then check their space, content, staffing, services and complete costs. The fifteen options below are proposal prompts, not a ranking of commercial performance. Test each against your booked plot, audience and event requirements before committing to production, equipment or an interactive feature.

How should you select exhibition stand design ideas?

Define what visitors should understand or do and the next step you want to offer. Ask the designer to show the activity in operation, including people, furniture, equipment and access. Prioritise features that meet the brief and can be delivered, maintained and staffed within the agreed scope.

Keep construction method and plot configuration separate. Our exhibition stand types guide explains those distinctions. Neither a large structure nor an interactive screen establishes that an idea will produce more relevant enquiries.

Material and reuse ideas

1. Specify timber products with documented sourcing

Ask for the exact product, finish, relevant documentation and intended recovery route. FSC explains its 100%, Recycled and Mix labels; they describe different product categories. A labelled timber product does not certify the environmental impact of the complete stand.

2. Use a documented reusable frame inventory

Request the component schedule, product family and supported layouts for the actual programme. Identify additions, repair, packing and storage. Do not assume that aluminium frames contain a particular recycled percentage or that all modular systems are compatible.

3. Plan replaceable graphics and retained components

Compare graphic dimensions, fixing methods, condition, packing and future messages. Separate the reusable frame from the graphic that may need replacement. Ask what will be recovered and where it will be used again; fabric alone does not demonstrate a waste saving.

Lighting and display ideas

4. Use a video wall for content that needs it

Show the intended film, demonstration or data display at the proposed size and viewing distance. Have the AV provider specify resolution, support, power, control and content. Include installation and operation in the quotation rather than comparing screens by area alone.

5. Compare a backlit graphic with a printed alternative

Review actual artwork and finish samples under the intended lighting. Check shadows, contrast, power, fixing and replacement graphics. A backlit frame and a video wall serve different content needs; neither is automatically the better investment.

6. Light products and working areas deliberately

Place fixtures around product inspection, conversations and demonstrations. Test reflections on screens and shiny samples. Ask the responsible provider to specify electrical requirements and mounting. Avoid a universal energy-saving percentage without a comparable fixture and operating calculation.

Interactive technology ideas

7. Offer a product configurator

Give visitors relevant choices with a clear result they can discuss. Specify content, software, hardware, accessibility, support and an offline alternative where appropriate. A configurator may need staff and maintenance; it does not automatically collect useful information or qualify a lead.

8. Use augmented reality for a specific explanation

Consider AR when it helps show a product in context or explain something difficult to display physically. Test the actual device, content, lighting, network and visitor instructions. Compare it with a model, film or demonstration using the same communication task.

9. Review a virtual reality station as an operated activity

Plan staff, fitting, cleaning, accessibility, waiting visitors and an alternative way to understand the content. Establish the occupied footprint and turnaround process. A headset does not guarantee attention, recall or a particular increase in dwell time.

Structural and visibility ideas

10. Assess a second level against the actual requirements

Have the competent project team review structural design, access, circulation and applicable approvals. Include stairs, services, installation and usable space in the proposal. A second level does not simply double the useful area or automatically solve a limited budget.

11. Check whether a suspended sign is appropriate

Confirm permitted positions, approved suspension arrangements, loads, services and deadlines with the responsible providers. Test the message from intended approaches. A suspended sign is not necessarily visible from every part of a hall, and permissions are event-specific.

12. Design an island plot around its activities

Review messages and access from the actual open sides. Place products, storage, meetings and demonstrations on the scaled plan. Four open sides offer different approaches but do not require leaving every edge unobstructed or guarantee higher enquiry volume.

Consult the current event documents. IFEMA MADRID’s regulations resources are an official starting point for its venues; check the booked event, hall and proposed design rather than borrowing generic height limits.

Participation and conversation ideas

13. Give a challenge a relevant learning task

A short activity can help visitors compare products or test understanding. Define instructions, staffing, reset, accessibility and the connection to the offer. If prizes or entry data are involved, have the responsible team review the applicable terms and data process before launch.

14. Plan a recording or live-streaming area

Confirm the audience, content, speakers, camera positions, sound, lighting and connectivity. Check permissions and how people outside the recording area are handled. Include an operator and fallback; streaming equipment alone cannot establish reach or generate an audience.

15. Offer a quieter conversation area

Assess actual noise, furniture, participants and access. Test whether the proposed arrangement supports the intended discussion; a partial partition is not proof of acoustic privacy. Agree hospitality, replenishment and event requirements if refreshments form part of the activity.

Compare the shortlisted ideas on the same basis

Review Question to resolve
Visitor task What useful action or understanding does the idea support?
Operating layout Where do people, equipment, access and waiting fit?
Delivery Who supplies content, hardware, services and approvals?
Operation Who runs it, resets it and responds to faults?
Complete cost What is included, excluded, provisional and reusable?
Evaluation What observation will show whether it met the brief?

Our experiential booth planning guide develops activity, content and rehearsal checks. Use a project schedule based on actual dependencies instead of assigning the same production period to every feature.

For data collection, agree purpose, lawful basis, notice, access and retention. The EDPB’s lawful-processing guidance explains that legal bases have specific requirements. Participation in a demonstration or scanning a badge is not blanket permission for any later marketing.

Questions when choosing a design idea

Which idea generates the most leads?

There is no universal winner. Compare relevance to the audience, activity capacity, staff, message and agreed follow-up. Measure relevant enquiries and later outcomes separately from visits, participation and contact records.

How much does interactive technology cost?

Obtain a quotation for the actual content, hardware, software, services, support and delivery. State rental or purchase, exclusions and future updates. A generic equipment price does not establish the complete activity cost.

How can Adam Expo Stand assess the shortlist?

Send the event, plot drawing, activities, audience, equipment and budget assumptions through the project enquiry form. Request a layout, specifications, responsibilities and comparable costs for the shortlisted options.
