AutoCar Expo Exhibition Stands: Compare Design and Delivery

AutoCar Expo exhibition stands should be specified around the vehicle, component or service being presented, then compared against the same delivery brief. Start with the allocated plot, display dimensions, required conversations and current organiser instructions. A custom, modular or hired structure is useful only when its layout, technical responsibilities and complete cost fit that brief.

AutoCar Expo exhibition stands: establish the current booking

The organiser announces 1–4 December 2026 at Eurexpo Lyon, Hall 6 on its French practical information page. Checked on 12 October 2026, its Thursday opening-hours line contains a conflicting year. Obtain confirmation before relying on that evening timetable; visitor opening hours also do not establish contractor access or vehicle delivery windows.

The event presentation identifies coach tourism and mobility as its focus, with manufacturers, bodybuilders, engine and equipment suppliers and service providers. Plan for the professional questions relevant to your product rather than assuming every visitor has purchasing authority. Our AutoCar Expo archive and edition checks can help distinguish older information from a new booking.

Write a display schedule before requesting a concept

List each exhibit separately. For a complete coach, record its overall dimensions, mass, door and compartment movements, proposed visitor access and positioning needs. For a seat assembly or equipment sample, specify how it will be supported, whether it operates and who supervises visitors. For software, define the task demonstrated, screen requirements and fallback presentation.

Mark anything not yet confirmed. A drawing based on an estimated vehicle length or a screen awaiting selection is provisional. Assign someone to provide the final information before production. This prevents a visually convincing concept from becoming an unsuitable layout when the actual exhibit arrives.

Compare custom, modular and rental proposals fairly

Request the same display schedule and plot arrangement from each supplier. A bespoke design can address a particular configuration or presentation requirement. A modular system can offer alternative configurations when its components suit the spaces. Rental describes the commercial arrangement and can include either approach. None of these labels establishes the lowest total cost or the simplest installation.

Ask for a dimensioned plan, component specification, visual proposal, scope of services and exclusions. Identify which items you own, hire or supply yourself. Check whether graphics, furniture, lighting, display supports, flooring and demonstration equipment are specified consistently across quotations.

For reuse, request a second proposed configuration using the same identified components on a realistic future plot. Include packing, transport, storage, refurbishment and new graphics in that comparison. Reusable construction can reduce discarded material, but a material label or modular description alone does not demonstrate a measured environmental benefit.

Agree who handles approvals and vehicle coordination

Obtain the current exhibitor manual and the requirements applying to your booking. Have the competent parties establish what drawings, material evidence, electrical arrangements, vehicle conditions and operational checks are required. Do not infer permission for a moving display, powered equipment or overhead construction from a rendering or photograph.

Assign each submission to a named owner, record the deadline and retain the written response. Distinguish a supplier’s internal check from organiser or venue acceptance. If an element remains conditional, state its effect on production and identify the alternative before placing dependent orders.

Coordinate the display arrival with the stand installation sequence. A vehicle may need positioning before surrounding work can be completed. Confirm unloading and access arrangements, the party responsible for movement, packaging storage and the reverse sequence after closing. Use current instructions for the actual display rather than a generic earlier-edition timetable.

Build a quotation that can be checked line by line

Keep organiser space charges separate from the stand supplier’s work. Establish whether connections, consumption, handling, cleaning, security, internet, waste arrangements and other services are supplied directly or included in the proposal. Ask who places each order and who carries any related cost.

  • Design: agreed drawings, specification, revisions and technical dependencies.
  • Production: components, finishes, graphics, furniture and display supports.
  • Delivery: packing, freight, unloading, installation and commissioning.
  • Event support: contact, availability, response arrangements and exclusions.
  • Removal: dismantling, collection, return destination, storage and damage terms.
  • Commercial terms: taxes, payment milestones, change control and estimated items.

Use the European exhibition stand budget guide to organise comparisons. A price per square metre is incomplete without the plot, specification and service boundaries. Agree how a late artwork change or revised display requirement would be priced and approved.

Test the visitor conversation at handover

Walk through the actual presentation with the equipment in place. Can a colleague explain the product category from the aisle, show the relevant detail and move into a meeting without blocking others? Check screen readability, lighting, storage, access and the agreed finish. Record outstanding work with an owner and completion time.

Brief the team on the distinction between a working feature, a sample and a visual representation. Use demonstrations to answer an operating, maintenance or procurement question. Record the product discussed and the next action agreed through your approved contact process. Visits, scanned badges and later qualified opportunities are different measures.

Send a brief for your AutoCar Expo project

Send Adam Expo Stand your edition, plot drawing, exhibit schedule, planned conversations and budget scope through the project contact form.
