Web Summit Lisbon 2026 takes place on 9–12 November at MEO Arena and FIL. Prepare your exhibition around the package you have actually booked, the people you want to meet and a demonstration your team can deliver reliably. This guide helps define the stand brief, services, meetings and follow-up.
Confirm dates, venue and your exhibition package
The organiser’s venue information identifies MEO Arena and FIL in Lisbon. Its 2026 startup support hub distinguishes the event dates from the startup exhibition, scheduled for 10–12 November. Confirm your own assigned exhibition day, access and handover directly with your success manager.
A startup package and a partner exhibition space can have different inclusions and permissions. Obtain the dimensions, supplied furniture and graphics, screen arrangements, electrical provision and rules for changes before commissioning a build. A generic square-metre recommendation does not establish your entitlement.
Choose one useful demonstration
Start with the customer problem, then show the relevant workflow and outcome. Prepare a short introduction and a deeper version for visitors with specific questions. Test the demonstration with someone unfamiliar with the product; adjust its length to the explanation rather than an assumed ideal number of seconds.
- Use demonstration accounts and approved example data.
- Confirm devices, charging, power, connectivity and screen visibility.
- Provide an offline recording or screenshots if the live system is unavailable.
- Plan where the presenter and visitors stand without blocking neighbouring displays.
- Assign an owner for setup, reset and technical problems.
Make the display easy to understand
Give the company name, product category and main use case a clear hierarchy. Review artwork against the supplied templates and package restrictions. Add furniture or equipment only when it fits the booked footprint and supports the conversation. Where you have a separate custom space, use the allocated plan to review meetings, storage and circulation with the builder.
Plan meetings and media conversations
Separate potential customers, investors, partners and journalists in the contact plan. Each needs different evidence and a suitable next step. Use the official app and programme information to check available meeting tools and eligibility. Participation in a startup programme does not guarantee a pitch slot or investor meeting.
Prepare an approved company description, relevant product evidence, images and spokesperson details for media enquiries. Schedule team coverage so meetings elsewhere do not leave the display unattended. Agree a practical meeting target from your team’s available time.
Confirm access, services and complete costs
Use your current exhibitor instructions for deliveries, installation permissions, service orders and removal. Do not assume a two-day construction window or that an external contractor may modify a supplied startup display. Record who orders each service and who approves the work.
Budget for the package, permitted display additions, graphics, demonstration equipment, connectivity, transport, staff travel, accommodation and follow-up. Compare itemised offers for the same scope. Published attendance figures do not predict your stand’s enquiries or investment return.
Measure the results that matter
Record relevant conversations, completed meetings, agreed actions and later opportunities separately from scans and casual visitors. Use your organisation’s approved contact process and agree a follow-up owner. For commercial evaluation, define the attribution period and full cost before interpreting later sales.
