To assess the return from Alimentaria Barcelona, define objectives, record complete costs and follow opportunities after the show. Tastings, meetings and stand visits describe different activities; none guarantees a sale.
The 2026 edition has finished. The organiser announces the next Alimentaria for 20–23 March 2028 at Barcelona Gran Via. Check dates and exhibitor information on the official Alimentaria website before preparing the next schedule.
Define what Alimentaria Barcelona should achieve
Separate distribution enquiries, client meetings, product introductions and feedback. Assign a measure and owner to each objective. A relevant buyer meeting with an agreed next step provides different information from a sample handed out.
Decide how to review outcomes and how long to follow opportunities. The period should reflect your business’s sales cycle, rather than a universal deadline for every product and market.
Plan tastings around the actual operation
List products, formats, quantities, storage, preparation and service needs. Confirm handling, cleaning, waste and product-information requirements with the responsible people. Ask the organiser which conditions apply to your activity.
Calculate capacity from staffing and expected demand. A fixed portion count or explanation duration will not suit every tasting. Plan replenishment and storage without interrupting conversations or blocking access.

Connect the layout with the product
Mark display, preparation, service, conversation and storage zones. Provide equipment dimensions, weights and power or water needs. Review staff and visitor movement, cleaning and access.
For meetings, calculate expected numbers and duration instead of imposing a fixed table or stool count. Decide which conversations can happen beside samples and which need a separate space.
Prepare buyer conversations before opening
Select buyers and partners relevant to the offer. Use the event’s meeting tools where available and confirm appointments, owners and information each person needs. Leave capacity for unplanned relevant conversations.
During the event, record the need, market, product interest and agreed next step. The team should be able to distinguish a specific enquiry from a visit without an identified requirement.
Include the complete participation cost
Collect space, design and build, graphics, venue services, equipment, transport, installation, dismantling, staffing, travel, samples and follow-up. For reused assets, agree a consistent allocation and avoid counting the same cost twice.
Request itemised quotations for the same scope. Identify taxes, exclusions and assumptions. Confirm who orders power, water, cleaning, handling and additional services needed for your activity.
Separate activity, pipeline and realised return
Report tastings, meetings, qualified enquiries, proposals and won business separately. Open opportunities are pipeline; they should not be described as realised income or profit.
For ROI, agree the event cost, attributable contribution and review period with your finance team. A target pipeline multiple can be an internal planning assumption, but it is not a universal success benchmark or a substitute for realised ROI.
The trade show ROI guide explains how to keep those measures distinct. Assign follow-up ownership and record the action agreed with each contact rather than promising that a fixed response time guarantees a sale.
Use the review in your next brief
Retain what supported relevant conversations and document operating difficulties. Test a manageable number of changes so their effects can be assessed. Share the plot, products, equipment, activities, budget and timetable with our Barcelona stand team.
