FIL Lisbon exhibition stand preparation needs the allocated floor plan, the current event regulations and a clear division of responsibilities. Start with those documents before selecting the structure or ordering services. This guide organises the questions to resolve with the organiser, venue and builder.
Identify the venue and the booked space
FIL’s official venue information places it in Parque das Nações in Lisbon and describes four main pavilions. Use your event’s actual plan for its hall and any temporary or additional spaces. Do not derive stand heights, floor loads or service availability from a general venue description.
Confirm whether you booked bare space or an equipped package. Obtain its dimensions, open sides, columns, service positions and included items. A pavilion’s ceiling height is not the permitted height of an exhibition stand.
Gather the applicable documents
Begin with FIL’s published regulations, then obtain the specific exhibition rules, technical instructions and submission deadlines. Ask the organiser to resolve any difference between documents before production.
- Allocated plot and surrounding circulation.
- Permitted boundaries, heights and wall arrangements.
- Required drawings, structural information and material documentation.
- Electrical and other installation requirements.
- Rules for raised floors, suspended elements, enclosed rooms and upper levels.
- Current access, work and removal schedule.
Review the proposed stand
Ask the responsible designer and technical team to review the actual products, equipment, supports, loads and visitor activities. Record which drawings and certificates are needed, who prepares them and who submits them. Confirm approval before manufacturing items that depend on it.
Show furniture, storage, cables and staff movement on the layout. Review accessibility and emergency circulation against the applicable requirements. A generic blog rule cannot approve a structure or replace competent technical assessment.
Order services from the confirmed specification
FIL’s exhibitor information describes its Servifil services and technical support. Obtain the catalogue and order process for your event, with deadlines, tariffs and responsibilities.
Prepare an equipment schedule for electricity, data, water or other connections. Confirm the required supply, operating periods, installation provider and testing. For an important digital demonstration, agree a suitable connection and offline alternative. Record cleaning, waste and any handling requirements as separate items.
Coordinate deliveries and installation
Confirm the delivery address, permitted vehicle route, booked slot, unloading arrangements and storage of empty packaging. Assign responsibility for transport, handling, installation and the return movement. Check access credentials, equipment permissions and the dismantling sequence in the event instructions.
For international shipments, ask the logistics provider what documents and procedures apply to the origin and goods. Set arrival timing with that provider and the organiser. There is no reliable universal delivery buffer or construction period for every FIL event.
Agree handover and the full quotation
Include design, materials, graphics, equipment, services, transport, labour, approvals, cleaning, removal and any storage or reuse work. Identify exclusions, provisional charges and taxes. Establish who handles changes and support during the event.
At handover, check the delivered layout, graphics, equipment operation and outstanding items against the approved scope. Record condition before packing retained components after the show.
Frequently asked questions
What is the maximum stand height? Confirm it for the specific plot and event; do not use hall clearance as permission.
Are services included with the space? Check your contract and package specification, then identify separate orders.
Can a two-level stand be built? Obtain a project-specific feasibility and approval assessment before committing to the design.
