Preparing a Fruit Attraction stand at IFEMA Madrid requires coordination between the exhibitor, organiser and delivery suppliers. Start with the participation you have booked, then assign each design, service and product-handling task to a named person.
The official Fruit Attraction website lists the Madrid 2026 edition as 6–8 October. That edition has finished. Confirm the next dates and current exhibitor instructions directly before booking travel or construction. This guide explains the coordination work rather than reproducing an old event forecast.
Separate the organiser’s booking from the stand contract
Obtain your space confirmation, allocated plan, participation package and current manual. Check open sides, restrictions and included services before commissioning drawings. An organiser package may already include elements an external supplier would otherwise quote.
Give the same documents to shortlisted builders. Agree who submits drawings, orders services, coordinates deliveries and answers technical questions. Keep confirmations in a shared record accessible to the installation team.
Give each product a display and handling plan
List the produce, packaging, equipment and printed information you intend to show. For each item, record its display purpose, dimensions, quantity, replenishment needs and person responsible. The designer needs the actual crate, shelf or equipment dimensions, not just a product photograph.
Ask your product team to specify storage and temperature conditions where relevant. Confirm suitable equipment, service availability and responsibility for monitoring it. A stand builder’s general construction scope does not automatically include a cold-chain service.
If you intend to prepare or serve food, describe the activity to the organiser and the competent suppliers. Obtain applicable conditions before ordering counters or equipment. A static product display and food preparation are different requirements.
Coordinate deliveries and working access
Build the delivery sequence from confirmed venue and event instructions. Identify vehicle registration, handling arrangements, packaging storage, unloading responsibility and build-up windows. Use IFEMA’s participation regulations alongside the current event manual.
Record dependencies: a display unit may need installation before produce arrives, while a screen needs approved content before testing. Give the team a contact for delays and a procedure for accepting deliveries.
Compare proposals with the same responsibility list
Request separate lines for design, fabrication, graphics, flooring, furniture, lighting, audiovisual equipment, transport, installation and dismantling. Identify organiser services, product handling, cleaning, storage, taxes and exclusions. Confirm who supplies, installs, tests and removes each item.
A price per square metre alone does not show whether two suppliers cover the same work. Compare the complete scope and any intended reuse, including new graphics, repairs, storage and later transport.
Check the stand before the products and visitors arrive
Review dimensions, graphics, furniture, equipment, service connections and circulation against the approved brief. Test screens with the actual content. Record outstanding faults and their owner before handover.
Brief staff on receiving visitors, replenishing displays and arranging longer buyer conversations. Agree how to record product interest and the next action through your organisation’s privacy process. Review qualified discussions and completed follow-up separately from visitor counts.
