Formnext 2026 takes place at Messe Frankfurt from 17 to 20 November. To prepare your stand, separate the space booking from design and construction, confirm your demonstration equipment and check the official deadlines before approving orders.
What does space at Formnext 2026 cost?
Mesago lists normal space rates of €328/m² for row stands, €356 for corners, €378 for head stands and €408 for islands, plus VAT, the €0.60/m² AUMA charge and Sales & Marketing Services. Earlier rebooking and early-bird rates no longer apply to new bookings. Source: official participation options and prices.
Empty space and a package that includes construction are different products. Check the scope of the offer you have received before adding an external builder: ordering the same element twice can duplicate costs. Ask the organiser to confirm availability, conditions and the charges applicable to your booking.
Compare construction proposals against the same brief. Separate design, structure, graphics, furniture, audiovisual equipment, transport, installation, dismantling and storage. Identify venue services that you book directly. A price per square metre without this scope does not give you a reliable comparison between two proposals.
Formnext deadlines: what to check now
As of 9 October, the published deadlines for plans requiring approval and for suspensions have passed. If either is outstanding, contact the organiser; do not assume a late submission will be accepted.
| Task | Date |
|---|---|
| Plans requiring approval | 30 September |
| Suspensions | 6 October |
| Early set-up registration | 30 October |
| Standard set-up | 12–16 November |
| Dismantling | 20–23 November |
From 27 October, certain services carry a 25% express surcharge. Check hours, conditions and orders in the official Formnext stand-constructor information. Vehicle access follows the relevant work phase and entry procedure; it does not begin only after all dismantling has finished.
Assign an owner and a written confirmation to each order. Keep approved drawings, service references and venue contacts in a folder the team can access during installation. If machinery changes, review which documents and services need updating with your builder before shipping the replacement equipment.
Choosing a stand format for additive manufacturing
| Option | When to consider it | What to check |
|---|---|---|
| Organiser package | You need a solution with a defined scope | Dimensions, graphics, electricity, furniture and included extras |
| Modular system | You want to reuse components across events | Configuration, loads, storage and transport |
| Custom build | Your demonstration or brand needs a specific layout | Engineering, approvals, production and dismantling |
Start with what will happen inside the stand. List demonstrations, samples, meetings and storage, then allocate space to each activity. An attractive design also needs access for installation, maintenance and replenishment. Ask for a plan showing where visitors stand and how a demonstration avoids blocking the aisle.
Preparing machinery and demonstrations
Give your builder a specification for each machine: dimensions, weight, support points, electrical consumption, connections and handling requirements. Include the transport packaging and space to open doors or perform maintenance. The design should not rely only on the machine’s marketing image.
Confirm venue limits and requirements for your particular demonstration with the organiser and competent suppliers. Review power, ventilation, process materials, waste, noise and separation from visitors where relevant. Request a check for the actual equipment: generic trade show advice cannot replace that assessment.
Prepare an alternative if a machine cannot run: physical samples, a guided explanation or a recording of its process. Test screens and connectivity before opening. The alternative should answer the same commercial questions as the planned demonstration.
What to ask your stand builder
- A written quote showing inclusions, exclusions and responsibilities.
- A floor plan showing activities, circulation, storage and services.
- A schedule for decisions, production, delivery and installation.
- A coordination lead and a contact available during the work.
- Confirmation of who submits approvals and orders each service.
- A handover, issue-reporting and dismantling procedure.
- A plan for reusing or removing components after the event.
Compare proposals on the same terms. One offer may include installation and transport while another excludes them. Resolve those differences before contracting and confirm how scope changes are handled. A builder’s location alone does not demonstrate capability: ask for relevant completed work and verifiable references.
Our exhibition stand brief checklist helps you record responsibilities and open decisions before comparing proposals.
Preparing the team and follow-up
Define the conversation you want to start with each visitor type. A technical specialist may need material and tolerance evidence; a buyer may ask about lead times, capacity and support. Organise samples and information so the team can respond without making every visitor hear the same presentation.
Agree who welcomes visitors, demonstrates equipment and handles meetings. Use a contact record that captures the visitor’s interest and the agreed next step, following your privacy process. After the event, compare results with the objectives set before the show. A count of cards or badge scans alone does not explain the commercial value of exhibiting.
Frequently asked questions about your stand
Does the space price include construction?
It depends on the option booked. Empty space and stand packages have different scopes. Check your offer and its services before requesting an external construction quote.
Can machinery change after the stand has been designed?
Report the change before shipping it. It may affect loads, access, utilities, safety and documentation. Ask the relevant responsible parties to confirm whether the design and orders remain suitable.
How should I compare modular and custom stands?
Compare the cost and scope of your full event programme: new graphics, transport, installation, maintenance, storage and reuse. Do not assume one option always saves a fixed percentage.
