Start with IFEMA’s participation regulations and the specific exhibitor guide for your booked event. IFEMA’s technical support page directs exhibitors to each fair’s specific rules. Confirm applicable approvals, services, access arrangements and deadlines rather than applying one height threshold or build timetable to every event.

Compare stand formats and scope
A custom stand needs an approved design and defined production scope. Modular stands need suitable components, graphics and an installation plan for the actual plot. Rental stands need a clear list of supplied items, return arrangements and damage terms. Confirm specialist design and engineering requirements before approving two-storey or suspended features.
For an urgent project, discuss actual capacity and current event deadlines. The last-minute stand guide does not establish that a particular design can be delivered within a generic number of days.
Request a comparable quotation
Give shortlisted suppliers the same requirements and ask for an itemised offer. Confirm design, production, graphics, furniture, equipment, transport, handling, installation, handover, dismantling, waste, storage and taxes. Identify approvals and venue services as included, excluded or provisional, with the responsible party named.

Agree who delivers and checks the work
Ask Adam Expo Stand to identify the proposed project lead, production arrangements, installation team and any partners. Confirm who handles drawings, engineering where required, technical submissions and venue orders. In-house or partner delivery both need clear responsibilities, acceptance checks and an escalation process.
Record artwork approval, production, freight, access, installation, handover and correction dates against the current event schedule. Confirm dismantling and collection separately. Relevant completed projects help assess fit; they do not guarantee approval or the same results for a different stand.

Request a current quotation for the booked plot, design and services. Separate floor-space charges and organiser services from construction unless the offer explicitly includes them.

Can the team work in my booked hall?
Provide the hall and plot drawing so access, technical constraints, team availability and delivery scope can be checked for the proposal.
How long will installation take?
