Barcelona Wine Week 2027: Stand Formats, Costs and Tastings

Barcelona Wine Week 2027 is announced for 8–10 February 2027 at Fira de Barcelona’s Montjuïc venue, Palacios 1 and 2. Before commissioning a stand, confirm your participation format: a shared or packaged area may already provide the structure and furniture you need. Free-design participation requires a different brief and budget.

The organiser’s exhibition page describes BWW Lands as packaged participation and BWW Brands and Complements & Tech as sectors offering a free-design corporate presence. Check the current conditions and your confirmed allocation rather than assuming every exhibitor needs a separate build.

Start with the participation format

Situation First decision
Winery participating through a designation of origin or group Confirm the group’s package, your assigned display and meeting space, shared services and permitted additions
Winery or distributor booking directly Compare the organiser’s available packages with any permitted free-design option
Equipment, accessories or service exhibitor Define the product explanation, samples or demonstration and its actual space and service requirements
Small or collective project Ask the organiser about eligibility, available formats, acceptance and complete charges

Record what is included before requesting extras: counter, chairs, display shelving, graphics, electrical capacity, lighting, cleaning, passes and storage. Confirm ownership and return conditions for hired items. Do not order an additional structure until its need and permission are clear.

Use published package prices in their proper scope

The official 2027 Pack Brands conditions list a 14 m² package at €7,200 plus €410 registration, giving a listed total of €7,610. The document specifies furniture, graphics and electrical provisions and says the refrigerator is not included. This is an organiser package price, not a quotation for any custom stand of the same area.

Ask the sales team to confirm current availability, applicable taxes, payment terms and additions for your booking. Compare the complete offer with your needs. Do not multiply this package price into an assumed venue-wide construction rate.

For a separate build, request an itemised project quotation. Include design, technical documents, structure, graphics, furniture, equipment, packing, transport, handling, installation, support, dismantling, return and storage where relevant. Add participation charges, venue services, wine and sample logistics, staff, accommodation and applicable taxes.

Check the deadlines that apply to your booking

The 2027 Lands and DO package conditions give 16 October 2026 as the deadline for grouping organisations to communicate participating winery details. They also describe package-specific name and delivery arrangements. These are not universal custom-stand ordering deadlines. Confirm your own obligations with the organiser and group coordinator.

Create a dated task register covering registration, co-exhibitor information, artwork, service orders, technical submissions, sample delivery, installation access and return collection. Assign an owner and keep the applicable document version with each task.

Agree supplier production and holiday availability for the actual design. There is no single verified November or December date by which every custom or modular stand can safely be ordered. Work backwards from authorised access, required approvals, production capacity and transport arrangements.

Plan tastings and conversations together

List the wines and how they will be presented: a quick sample, an appointment, a comparative tasting or a discussion with a producer. Estimate the intended simultaneous activities and check the usable layout with real furniture and staff positions.

Locate serving points so staff and visitors can use them without blocking circulation. Keep queues and intended observers within the allocated space. A counter at the aisle edge is not automatically suitable for every plot or shared format.

Allow for clean and used glassware, bottle opening, cooling, replenishment, waste and cleaning. Agree how spills and breakages will be handled. Confirm what the organiser, group and exhibitor each provide; do not assume a package includes washing facilities or refrigeration.

Check the actual equipment dimensions, ventilation and electrical requirements with the responsible supplier. Ask about overnight power where required. Keep operational supplies accessible to staff without allowing boxes to obstruct the display or routes.

Brief the designer on wine and territory

Choose the information buyers need to understand the range: producer, region, label, vintage, intended market and technical characteristics approved by your team. Distinguish the group’s identity from individual wineries within a shared area.

Test bottle and label visibility with the proposed lighting. Review glare, colour appearance and readability using actual samples where possible. Secure valuable display bottles and agree who is responsible for stock during opening, overnight and removal.

Approve artwork language, product statements, image rights and print dimensions before production. The stand’s story should follow the exhibitor’s products and current programme; do not assume the previous edition’s tasting theme governs your 2027 display.

Use the Montjuïc documents

Request the current BWW exhibitor instructions and consult Fira’s participation regulations, which distinguish the Montjuïc and Gran Via technical documents. Confirm the rules and submissions applicable to your particular construction and activities.

Resolve height, neighbouring finishes, accessibility, materials, electrical installation and any suspended elements with the responsible technical team. Visitor opening hours do not establish installer access or dismantling permission.

Prepare buyer meetings and follow-up

Ask the organiser which meeting tools and buyer programmes are available to your exhibitor category. Access and conditions can differ, so do not promise every group member identical matchmaking access.

Prepare an appointment schedule, relevant technical sheets and a clear next step for each conversation. Use the lead-recording process approved by your organisation, including the organiser tool’s current conditions where used. Agree the follow-up owner and response date with the buyer.

Review useful meetings, sample requests, agreed next steps and attributable commercial outcomes against complete participation costs. Attendance figures or the number of bottles poured do not establish the return from an individual stand.

Frequently asked questions

Do all Wine Week exhibitors need a stand builder?

No. Confirm the booked format and inclusions first. A packaged or grouped area may already provide the required stand; additional work must fit its conditions and permissions.

What does a quote need to include?

Separate organiser participation, construction or package, services, sample handling, staff and return costs. Ask for exclusions, taxes, deadlines and responsible contacts in writing.

What should I send to Adam Expo Stand?

Send the confirmed format, plot, current manual, tasting activities, equipment, budget and dates. Request a proposal and availability for the specific scope before making design commitments.
