A shell scheme can provide a useful starting point for a small display or an international exhibitor. Compare its complete cost and permitted adaptations with your activities before choosing it. It is not automatically the cheapest or most suitable option for every first show.

Ask for the package specification, dimensioned drawing and service schedule. A photograph of a previous edition does not establish what your booking includes. Check the usable internal dimensions: frames, panels, columns and fascia can affect the space available for graphics and products.

Shell scheme, modular and custom: compare the right things

These terms describe different aspects of an offer. A shell scheme is a supplied participation package; its structure may itself be modular. A separately commissioned stand can combine reusable system components with bespoke elements. Custom design does not necessarily mean a single-use build.

Compare the same brief, plot, event dates and delivery responsibilities. Include package charges, permitted upgrades, graphics, services, transport, labour, removal and taxes. A low structure price does not establish the complete participation cost. For a repeat programme, also include storage, inspection, replacement graphics and adaptations.

How to personalise a shell scheme stand

Start with one clear message and the product or conversation it supports. Test graphics at their actual viewing distance, including any frame interruptions. Obtain the printer’s requirements for dimensions, bleed, colour and file preparation; a universal image-resolution number cannot replace the production specification.

Ask the system provider to approve attachment methods and any supported loads. Do not assume magnets work on every frame or that adhesive, hook-and-loop fastening or drilling is permitted. Check responsibility for damage and removal.

Review light with the actual graphics, products and screens where possible. Fabric, vinyl and rigid panels have different finishes; none is automatically glare-free. Additional lighting, backlit displays or raised flooring require a suitable specification and the applicable permissions.

Plan usable space and technology

Place the real furniture, products, staff and any waiting visitors on a scaled plan. Maintain the required access and clearances rather than using a fixed percentage of empty floor. Check that doors, storage and demonstrations can operate without obstructing neighbours or the aisle.

Use technology only for a defined task. A tablet may explain a product or record a requested follow-up, but it adds power, support and data responsibilities. Test connectivity, content and a fallback. Personal mobile hotspots are not automatically suitable or permitted.

Confirm permissions, access and handover

A supplied structure does not remove the need to review your additions and activities. Obtain the current event instructions. For example, IFEMA’s regulations directory separates documents for different facilities and event arrangements. Your booking and current manual determine what applies.

Agree authorised access, delivery, installation, snag reporting and removal times. At handover, compare the delivered items with the order, check your graphics and test the intended activity. Technical acceptance belongs with the responsible specialists.

After closing, follow the agreed return and packing process. Inventory retained items, record damage and inspect graphics before reuse. Confirm who removes each addition so hired panels and equipment are returned appropriately.
