Vitafoods Europe exhibition stand design should connect the product visitors can assess with the conversation your team needs to have. For the 2027 Barcelona edition, define your category, samples, presentation equipment, meeting activities and storage first. Then coordinate the layout, services, content review and delivery requirements with the current organiser information.
Vitafoods Europe exhibition stand design: the 2027 starting point
The official Vitafoods Europe website confirms 18–20 May 2027 at Fira Barcelona Gran Via. Use that venue for planning; technical requirements and services from the former Geneva location should not be carried into a Barcelona brief.
As checked in October 2026, the organiser’s manual page says the 2027 exhibitor manual is not yet available. Prepare the functional brief now, then confirm stand-specific technical rules, permissions, service orders and installation dates through the new manual when released. Record unresolved requirements rather than presenting old limits as current approval.
Make your category and offer understandable
Identify whether the stand represents ingredients, finished products, contract manufacturing, equipment or services. Explain the relevant application and the type of customer you serve. An ingredient sample, a consumer-ready product and a manufacturing service need different supporting information.
Choose a message that your team can explain and substantiate. Visitors should be able to recognise what is being offered without decoding a wall of unrelated product names. Prepare a clear overview, then make detailed specifications available for the appropriate discussion.
Use the product and brand context to choose colours, finishes and imagery. A white stand, natural-looking material or scientific illustration does not establish product quality, efficacy or environmental performance. Review the actual claims and avoid using a laboratory aesthetic as a substitute for relevant evidence.
Define what each sample is meant to demonstrate
Specify whether a sample is for visual inspection, texture comparison, a controlled demonstration or tasting. Assign the product team responsibility for deciding which activities are appropriate and what information must accompany them. The designer needs to understand handling and equipment requirements before placing the counter.
| Sample or activity | Requirement to put in the brief |
|---|---|
| Packaged finished product | Display quantities, product references, information and replenishment route |
| Ingredient sample | Suitable presentation, identification, handling arrangements and relevant specification material |
| Tasting activity | Permission checks, responsible supervision, product information, storage and serving process |
| Temperature-sensitive item | Specified storage conditions, suitable equipment, power and responsibility for checking conditions |
| Formulation discussion | Technical staff, reference documents, meeting space and a way to record unresolved questions |
| Equipment demonstration | Operating requirements, competent supervision, services and an appropriate fallback |
Ask the organiser which rules and approvals apply to your proposed activity. Have the responsible product or food-safety team resolve handling, allergen information, preparation, cleaning and disposal where relevant. A general stand design article cannot determine that a particular product or sampling process is permitted.
Connect the sample counter to the conversation
Place the activity where visitors can see what is available and participate within the booked plot. Allow room for staff, equipment, waiting visitors and replenishment. Keep circulation usable when the stand is busy; an aisle-facing counter should not require a queue outside your space.
Plan how a colleague moves from the sample to a useful question, product explanation or technical discussion. Keep any meeting area accessible without passing through a preparation or storage workspace. Test the plan with the expected number of people rather than imposing a fixed percentage of floor area for meetings.
Provide storage for spare stock, packaging and personal belongings, with access that does not interrupt the presentation. Confirm how waste and used serving items will be managed. Check service positions and any water, drainage or refrigeration needs with the authorised providers once the current arrangements are available.
Prepare clear, approved product information
Give staff current specifications, approved claims, product references and the appropriate route for specialist questions. Use consistent versions across labels, printed material, screens and digital documents. Assign an approver before production so a late correction does not leave conflicting information on the stand.
For international visitors, decide which languages and formats your team can support. Distinguish the product being sampled from other formulations or applications shown in a presentation. Do not imply that an example formulation or ingredient automatically has the same properties as a finished product.
Test screen content for legibility, navigation, sound and offline availability. A short explanation or physical sample can be a suitable alternative to an interactive screen. Choose equipment according to the actual task and assign someone to operate, reset and support it.
Plan materials and reuse with evidence
The organiser’s sustainability guidance encourages reusable stands and responsible handling of non-reusable elements. Turn that aim into a component plan: what will be rented, retained, repaired, replaced and recovered after the event?
For a repeated programme, check each future plot, compatible configurations, replacement graphics, storage and transport. Ask for evidence supporting specific material claims and avoid describing the whole project as certified because one material carries a label. The modular stand system guide helps assess components and configuration.
Budget for the sampling operation as well as the stand
Compare proposals with the same activity brief and itemised scope. Include the structure, graphics, furniture, displays, equipment, services, product logistics, installation, support and dismantling. Separate the space booking and event participation costs from the stand contractor’s quotation.
Specify which party supplies and checks refrigeration, serving equipment and stock handling where needed. Confirm consumables, cleaning, replenishment and return arrangements. The stand budget guide offers a framework; it is not a Vitafoods price list or a guarantee of a particular cost.
At handover, run the planned activity with the staff and equipment in place. Check graphics, information, storage, circulation, service operation and the support contact. Record any unresolved item and its owner before accepting the stand as ready.
Measure useful conversations and agreed next steps
Define what your team will record: the relevant application, requested information, responsible colleague and next action. Count sampling activity separately from technical discussions, meetings and proposal requests. A large number of samples distributed does not by itself demonstrate commercial return.
Explain the purpose of collecting contact information and follow your company’s appropriate process. Agree the next step with the visitor and assign an owner. Review the outcome against the full event cost and the objectives set before design began.
Frequently asked questions
Is Vitafoods Europe 2027 in Geneva?
No. The organiser confirms Fira Barcelona Gran Via for 18–20 May 2027. Use current Barcelona event information for the project.
Can every exhibitor offer product tasting?
Confirm the proposed product and activity with the organiser and your responsible product team. Resolve applicable permissions, information, handling and equipment before finalising the layout.
Which layout is best for an ingredient supplier?
Choose a layout that makes the ingredient and relevant application clear, supports inspection or demonstration appropriately, and provides space for technical conversations and replenishment.
