Advanced Factories 2027 · exhibitor planning
Advanced Factories 2027 is scheduled for 31 March–2 April at Fira Barcelona Gran Via. The organiser’s practical-information page identifies Hall 2. Check your booking, the current exhibitor manual and the final event instructions before approving the stand and equipment orders. Official event information · Dates and location.
A successful industrial stand starts with the demonstration: what visitors will see, where equipment will sit and how the team will turn technical questions into useful conversations. This guide explains the decisions to make before design, production and delivery.
Why consider exhibiting at Advanced Factories?
The event focuses on industrial automation, robotics and Industry 4.0. Consider it if your prospective customers need the manufacturing equipment, industrial software or production services you provide. Build your plan around the people you want to meet and the problems you can demonstrate, rather than an assumed visitor or lead total.
Choose a small set of clear messages. An engineer may want to understand integration, equipment limits and maintenance. A plant manager may need a discussion about implementation and operational value. Prepare the demonstration and supporting information for those different questions.
Check the plot and venue requirements first
Confirm the exact position, dimensions and open sides of your booked plot. Ask whether a walkway, overhead obstruction, neighbouring stand or service location affects the layout. These details should reach the designer before the first 3D proposal.
Use the organiser’s current exhibitor manual and Fira’s applicable technical requirements to review heights, suspended elements, structural documentation, material certificates, access and service orders. Requirements can depend on the plot, equipment and final design. Ask the relevant venue or technical contact to confirm them for your stand in writing.
Assign responsibility for drawing submissions, technical reviews and approvals. Track each submission and confirmation. A general planning article does not establish whether a particular robot, structure or suspended sign has been accepted for the event.
Separate the space booking from stand construction
The organiser offers Partner, Exhibitor and Newcomer participation options, including a turnkey option for start-ups. Request the current offer and compare its inclusions before commissioning additional work. See the official participation options.
For construction proposals, give each supplier the same brief. Separate design, structure, graphics, furniture, audiovisual equipment, delivery, installation, dismantling and storage. Record which venue services are included, excluded or contracted directly.
- Power, data and any equipment-specific connections.
- Suspension services where the design requires them.
- Machinery transport, lifting, handling and empty packaging.
- Internet, cleaning, demonstration equipment and other event services.
- Changes, refurbishment and storage if components will be reused.
A per-square-metre figure without that scope cannot establish the total project cost. Use actual quotes and the confirmed equipment list when comparing a custom build, a modular system and an organiser package.
Design around robots and machinery
Prepare a technical sheet for every machine: dimensions, weight, support points, power, connections, handling and access needs. Include the working envelope, doors, maintenance access and the separation required for visitors. Have the equipment supplier and the responsible technical specialists define those conditions.
Position the demonstration so people can understand the process without blocking the aisle or entering the operating area. Where useful, show details on a screen or display a finished part alongside the equipment. Keep explanation areas close enough for discussion while managing sound and other distractions.
Plan a backup presentation if the machine cannot run. Samples, a recorded process or a guided explanation should answer the same visitor questions. Test the demonstration, audiovisual content and services during the agreed preparation period.
Build the schedule from confirmed deadlines
Work backwards from the event and your approved installation window. List the dates for design decisions, technical submissions, artwork, production, equipment transport and service orders. Get the organiser’s actual deadlines and identify anything that requires longer review.
- Confirm the space and gather equipment information.
- Agree the budget, activities, services and responsibilities.
- Review the layout and obtain required technical approvals.
- Approve production files and coordinate logistics.
- Install, test and resolve issues before handover.
- Dismantle, collect equipment and record reusable components.
Do not treat a suggested planning sequence as an organiser deadline. Keep the final confirmations and contact details accessible to the installation team.
Match the stand format to your situation
Start-ups: compare the organiser’s Newcomer scope with what your demonstration requires. A clear, workable presentation should come before optional finishes.
First-time exhibitors in Spain: define who coordinates the venue, technical documentation, transport and installation. Prepare the key messages in the languages your team will use with visitors.
Compact plots: check that demonstrations, reception and meetings fit without restricting circulation. Assess equipment using its real working footprint.
Island stands: consider visibility from each open side, safe visitor routes, storage and quieter discussion space. Confirm structural and suspension decisions against the actual plot.
Prepare conversations and follow-up
Offer demonstration appointments to relevant accounts before the show. Brief the team on the technical questions to ask, the information to record and the next action to agree. Separate a quick introduction from a qualified project discussion.
Give each opportunity an owner and follow-up date. After the event, review the quality of conversations and the operational lessons against your objectives. Keep actual sales results separate from unclosed opportunities.
Choose a stand supplier with a clear scope
Ask for relevant project examples, named coordination responsibilities and a written proposal. Confirm how the supplier handles technical submissions, machinery logistics, changes, installation checks and dismantling. Assess the delivered scope rather than assuming that workshop ownership or a particular address guarantees an outcome.
