Last minute exhibition stand solutions start with a feasibility check: the confirmed booking, remaining deadlines, available components, graphics, services, crew and transport. A shorter timetable may require a smaller scope or a different participation format. Ask the organiser and supplier what can still be accepted and delivered before committing to a design.
There is no universal minimum turnaround for a modular or custom stand. A frame being available does not establish that artwork, approvals, electrical services, delivery and installation can all be completed in time.
Send one complete urgent brief
Give the prospective supplier the event name, venue, hall, stand number, confirmed plot plan, open sides and booked participation format. Include the current exhibitor manual, authorised access times, handover requirement and any unresolved organiser decisions. State which information is confirmed and which is provisional.
List the activities that must work: a product display, short demonstration, conversation or scheduled meeting. Provide actual equipment dimensions and service requirements. Identify the person who can approve the design, price, artwork and changes without a long internal chain.
| Information | Decision it supports |
|---|---|
| Booking and package inclusions | Whether an existing shell scheme or furnished format can meet the need |
| Plot, activities and equipment | A feasible layout and supported construction |
| Event deadlines and technical requirements | Whether the proposal can still be submitted and serviced |
| Approved graphics and product information | What can be produced without waiting for missing assets |
| Budget, decision owner and required handover | A reviewable offer and realistic decision timetable |
Compare last minute exhibition stand solutions by confirmed scope
Start with what is already booked. A shell scheme, organiser package or shared area may provide useful elements, subject to its conditions. Ask about permitted additions before ordering a separate structure. Do not remove or modify rented elements without the relevant permission.
Available modular components or rental furniture may reduce some production work, but check the actual stock, compatible configuration, condition, graphics and installation resources. Custom work is possible only when the supplier confirms the particular design and remaining dependencies.
A smaller product selection, fewer graphics or a demonstration with an agreed simpler format may make the brief achievable. Keep the essential visitor task and clear message. Adding screens, VR or suspended features introduces equipment, content, support and possible submission requirements; include them only when their purpose and delivery are confirmed.
Resolve event conditions before accepting the proposal
Ask the organiser about unresolved submissions, access, service orders and remaining options. A supplier’s confidence does not replace an organiser decision. The IFEMA MADRID regulations library separates participation, vehicle access and technical documents. Fira de Barcelona provides different technical documents for Gran Via and Montjuïc. Select the documents for the actual event and facility.
Confirm who prepares technical information, submits it, responds to questions and records acceptance where required. A late project does not remove applicable requirements. If a necessary approval, service or resource is unavailable, revise the scope with the responsible parties rather than assuming it will be resolved on arrival.
Freeze decisions and track dependencies
Use one dated drawing and specification as the current version. Agree a decision schedule covering layout, artwork, equipment, services, delivery and handover. Record each task, responsible person, deadline, status and consequence if it remains unresolved.
Check logos, image rights, language, dimensions, print specifications and final artwork approval before production. A quick graphic replacement still needs a suitable file and a supported fixing method. Avoid covering every spare surface simply because it is available.
For changes after approval, ask for the effect on cost, delivery and technical submissions before agreeing. Keep a fallback for any uncertain element, such as approved printed product information when an optional screen cannot be supplied. A fallback also needs permission and practical availability.
Request complete prices and availability in writing
Separate design, construction or rental, graphics, equipment, transport, handling, crew, installation, support, dismantling, return and storage as applicable. Identify venue services and organiser charges, who orders them and who pays. Ask about taxes, payment terms, exclusions and any applicable urgent-order charges.
Rental is not automatically the lowest complete cost. Compare offers for the same scope and actual event dates. Ask the supplier to confirm reserved resources and the conditions attached to its delivery commitment; do not infer a booking from an initial enquiry.
Keep handover and return in the plan
Agree the handover time, responsible contacts and checks for the visitor activity, graphics, furniture and equipment. Rehearse the operating interaction and record outstanding issues with an owner and resolution time. Have the responsible technical parties complete their required checks separately.
Plan dismantling, hired-item returns, packaging and the next destination before opening. Urgency does not establish that storage is included. If reuse or environmental benefits are part of the offer, request evidence for the actual components, logistics and programme rather than treating modular construction as proof.
Frequently asked questions
Can a stand be ready in a few days?
Only the organiser and suppliers can confirm the remaining options for the actual booking. Check stock, artwork, technical requirements, services, access, crew and transport together.
What if the requested design is no longer feasible?
Identify the essential visitor task and ask about a reduced design, available package or other permitted format. Confirm the revised scope, price and handover before accepting it.
What should I send first?
Send the confirmed booking, plot, current manual, activities, assets, budget and required dates so availability and a specific proposal can be assessed.
