Empack Madrid Exhibition Stand: Packaging Demos and Delivery

An Empack Madrid exhibition stand should help visitors assess packaging materials, machinery or services against a practical requirement. Start with the product, proposed demonstration, booked plot and equipment specifications. Confirm approvals, services and handling with the organiser and responsible providers, then compare complete costs and agree how the stand, samples and machinery will be handed over and returned.

Empack Madrid 2026: the correct dates and hall

Empack Madrid takes place on 11 and 12 November 2026 in Hall 6 at IFEMA MADRID. The official event website lists visitor hours of 09:30–18:00 on both days. Use the booked plot plan for the exact stand location and approach.

The event is organised by Easyfairs and focuses on packaging. Co-located events can create relevant connections, but do not assume their halls, technical requirements or visitor activity apply to your participation. The current Empack location is Hall 6, rather than the three-hall description used in some older planning material.

The 2026 operations manual is the main planning reference for stand documentation, services and access. Check it with the participation regulations and your booking, rather than treating a general IFEMA timeline as the Empack schedule.

Choose the task for the Empack Madrid exhibition stand

Write down what the visitor needs to understand: a material’s finish, a pack format, a labelling result, an inspection process or the operation of a machine. Define the sample, equipment and explanation needed. A meaningful discussion does not always require a full production line.

Offer Useful visitor activity Preparation question
Packaging materials Handle and compare labelled samples What application, material and stated properties does each sample represent?
Pack formats and design Compare opening, presentation or assembly How will samples be displayed, replenished and kept in order?
Labelling, marking or coding Inspect an output or watch an approved task What consumables, equipment, services and reset process are required?
Filling, sealing or packaging machinery Inspect a unit or an authorised operating cycle What are its weight, installed dimensions, handling and operating needs?
Inspection, software or traceability Follow a defined example What reference sample, demonstration data and connection are needed?
Packaging services or integration Discuss a specific project Which drawings, specifications and specialist help assess suitability?

Keep claims tied to the sample or conditions shown. Do not imply that a demonstration proves the performance, recyclability or suitability of every finished pack. Have the responsible product specialist check the wording and supporting evidence.

Match machinery and sample displays to the actual plot

Give the designer the plot dimensions, open sides, service positions and equipment list. Show transport and installed dimensions, weights, support points and the operating envelope. Reserve space for the operator, visitor observation, stock and access to controls or service points.

Ask the competent handling provider to plan movement and positioning from the manufacturer’s instructions. Determine power, compressed air, water or drainage needs from the specific equipment. Reinforced floors and three-phase connections are not automatic requirements for every packaging display.

The organiser’s operations FAQ explains that electrical arrangements must account for the panel and the required consumption. Confirm the correct supply, outlets and connections with the relevant provider. A socket included in a modular package should not be assumed to power a demonstration machine.

For a live process, arrange the activity review, competent operation and required safeguards. Use an approved sample or recording when the process cannot be delivered within the authorised scope. For software, prepare test records and a fallback explanation rather than showing confidential customer or production data.

Check outstanding documentation and delivery dates now

Planning update, 11 October 2026: the operations manual lists 28 September for documentation and priority machinery access requests, and 7 October for the online shop closure. Additional requests now go through the operations contact and depend on availability and technical feasibility. Ask how an outstanding item should be resolved instead of assuming it can be ordered or approved on arrival.

The manual distinguishes space-only build access beginning on 8 November from modular access beginning on 9 November. It lists removal on the evening of 12 November and on 13 November. Confirm the applicable hours and carrier arrangements against the current instructions for your booking. Public opening on 11 November is not a machinery move-in date.

Read the 2026 participation regulations for project and decoration review. Obtain permission for changes to supplied modular elements. Allocate each approval, service order and preventive document to the exhibitor, stand supplier or specialist responsible.

Keep receiving and transport responsibilities clear. Confirm unloading and the route into the hall with operations and the handling provider; the FAQ distinguishes unloading areas from access inside the hall. Arrange empty packaging storage and its return separately, rather than expecting the organiser to store crates.

Compare stand proposals using the complete delivery cost

Request an itemised quote against the same plot, product list and activities. Separate organiser charges and package inclusions from design, construction or rental, graphics, furniture, installation and dismantling. Identify equipment hire, freight, machinery handling, service connections and consumption, connectivity, storage, cleaning, waste and return transport.

Mark what is included, excluded, optional and unconfirmed. Check responsibility for graphic installation and removal, equipment commissioning and service ordering. A turnkey description needs a written scope; a generic cost per square metre cannot establish the total for a particular packaging demonstration.

Compare modular and custom construction by functional fit and documented configurations. An upgraded organiser stand may suit a sample display, while a different layout may be required for a particular machine. Neither the exhibitor’s experience level nor an island plot guarantees a better result.

Prepare the team, handover and event tools

Assign someone who can explain the product and someone responsible for detailed application questions. Provide the specifications and conditions relevant to the displayed sample or machine. Record questions requiring confirmation and assign a response, rather than guessing a technical answer.

At handover, check graphics, labels, furniture, storage, equipment position and services. Test the approved demonstration and reset procedure. Record defects, limitations and support contacts. Keep replenishment, consumables and packaging supplies available within the agreed storage arrangements.

The exhibitor information describes Smart Badge and Visit Connect contact tools. Confirm the functions included in your package, train staff and follow the organiser’s reader return and data access instructions. A digital interaction records interest; staff still need to understand the requirement and agree an appropriate next step.

Follow up and return products in good order

Record the application, product interest, technical question and promised action using the appropriate privacy information and permissions. Assign each sample, specification, quotation or meeting to a named owner. Set follow-up timing from the agreement and the work needed, rather than assuming every buyer has the same decision cycle.

Agree who shuts down, cleans where required, packs and releases the equipment for collection. Label samples and reusable stand parts, reconcile the inventory and document their condition. Compare conversations, opportunities and resulting business separately when evaluating the participation.

Empack Madrid stand questions

Do we need an island stand for a machine?

Choose the plot and layout from equipment access, operation, visitor observation and technical review. An island is one option, subject to availability and suitability, rather than a requirement for every machine.

How much does an Empack stand cost?

Obtain current organiser charges and a supplier quotation for the actual plot, equipment and delivery scope. Include services, handling and return before comparing the total.

What should we send a supplier?

Send the booking, plot, approval status, product and equipment details, planned activities, services, budget and logistics requirements. Contact Adam Expo Stand to discuss a proposal against those details.
