Custom Expo Stands: Brief, Specification and Delivery

Custom expo stands should be specified around the products, conversations and operations they need to support. Before approving a proposal, identify why each tailored feature is needed, what it costs and how it will be delivered. Compare the actual layout, construction, services, ownership and future use rather than assuming that a custom appearance produces better leads or return.

Give custom expo stands a project-specific brief

Describe the event and edition, allocated plot, visitor roles, products, demonstrations, appointments and team. Include dimensions, weights and equipment requirements. Supply the current event manual and brand assets. State the budget scope and distinguish confirmed requirements from options.

Explain what a standard package cannot adequately provide. It might be a particular product support, a demonstration arrangement, a meeting requirement or a specific graphic treatment. These are reasons to investigate a tailored solution, not proof that every feature needs bespoke fabrication.

Separate the plot from the construction approach

Row or inline, corner, peninsula and island describe the plot’s open-side arrangement. Custom and modular describe aspects of the design or component approach. Rental and purchase describe commercial arrangements. An island plot does not establish a particular construction price, and a custom design can incorporate hired or reusable components.

Confirm the actual boundaries and open sides on the allocated plan. Check how each proposal accommodates products, staff, visitors, storage and service routes. Compare options for the same plot and activity rather than assigning price bands or performance rankings to plot categories.

Require a reason for each design feature

Review sightlines from actual approaches. Do not apply a universal 15-metre visibility target or assume that an open perimeter always performs better. A private discussion, product operation or storage requirement may justify enclosure. Resolve the layout against the task and applicable event conditions.

Specify materials and finishes with evidence

Identify the actual material, finish, application and performance information. Review samples alongside drawings and the expected handling and reuse. A recycled-content label, timber appearance or fabric surface does not establish suitability for every structure or venue requirement.

Ask for supporting documentation for any certification or environmental claim in the proposal. Check that it applies to the supplied product and stated use. Do not infer certification from a logo in an illustration or treat a material choice as proof of the whole stand’s environmental impact.

Use the current event approval process

Obtain the applicable manual and establish which drawings, evidence and technical reviews are required for the actual project. Assign who prepares submissions, who places service orders and who obtains the necessary responses. Record conditions that affect fabrication or installation.

There is no single European submission deadline or material classification that can be applied to every stand without checking its conditions.

Build the schedule from confirmed deadlines and dependencies. A changed structure, suspended feature, product operation or service requirement may need further review. Keep the authorised design version and communicate approved changes to everyone delivering it.

Price the full delivery scope

Compare design, fabrication or hire, graphics, furniture, equipment, content, transport, handling, installation, support, removal and storage. Identify venue services, taxes, exclusions and estimates. Record ownership and what happens to each component after the event.

For multiple events, obtain feasible future layouts and price repairs, new graphics, additional components and transport. Approve handover against the specification

Inspect dimensions, finish, graphics, lighting, furniture and equipment against the approved scope. Rehearse demonstrations on the final equipment and check reset and fallback procedures. Record incomplete work with an owner and completion time. Confirm event support, escalation contacts and removal responsibilities.

After the event, review delivery issues and final costs separately from relevant conversations, opportunities and confirmed business. Neither a construction category nor a layout feature supports a universal lead uplift, dwell-time multiplier or return percentage.
