Booth Assembly Process: Access, Coordination and Handover

The booth assembly process should follow the actual stand design, system instructions, site conditions and the contractor’s planned method. For an exhibitor, the key tasks are confirming documents, access, responsibilities, deliveries and handover. A generic order for connecting frames is insufficient for every structure.

Prepare the booth assembly process before dispatch

Identify the approved drawing and specification revisions, assembly instructions, component manifest and required technical information. Confirm that the installation team has the applicable documents and knows which items are still conditional. A presentation rendering is useful context, not a complete installation method.

Check packing against the actual build and handling requirements. Label cases and components consistently, record fragile items and identify who verifies quantities and condition. Agree the process for shortages, damage, replacement parts and repair decisions.

Confirm site access and delivery arrangements

Use the actual event timetable and booked access arrangements. Confirm vehicle registration, unloading location, handling services, delivery route and permitted storage for empty cases. Do not send freight to arrive before a setup slot without confirming that someone can receive and store it.

Review door, lift, corridor and handling constraints against packed items and products. Identify who coordinates venue services and what must be complete before the next trade can work. Keep relevant contacts accessible to the site team.

Check current IFEMA regulations or Fira Barcelona participation requirements where applicable, together with the actual event instructions. Access windows, allowed activities and documentation depend on the project and location.

Agree the working sequence with the responsible contractor

Coordination pointWhat to confirm
Site arrivalAccess, induction, plot verification and delivery condition.
Structural workThe applicable instructions, competent team, equipment and planned checks.
ServicesResponsibility for electrical work, connectivity, AV and any organiser-supplied services.
Graphics and finishesWhen surfaces and fixings are ready, and who accepts the result.
Products and furnitureHandling, placement, fixing and access for installation.
Testing and handoverRequired technical checks, operating rehearsal and outstanding-item record.

The contractor should determine tools, equipment, supervision and working methods for the actual task. Do not improvise modifications, electrical connections, suspended loads or structural fixings from an online checklist. Refer discrepancies to the responsible designer or specialist and record authorised changes.

In its UK context, HSE event-management guidance emphasises coordination and competent supervision through event phases. Use the applicable local duties and venue arrangements for the actual build.

Coordinate AV, graphics and demonstrations

Confirm equipment weights, mounting requirements, power and connectivity before arrival. Allocate responsibility for each device and connection. Coordinate cable routes and access for maintenance with the approved design and responsible installers.

Test the real content and visitor task when services are available. Check screen readability, sound where permitted, control access, login requirements and the fallback for lost connectivity. A successful startup test does not prove that a demonstration will operate reliably throughout the event.

Review graphics against the approved files and agreed proof process. Record alignment, visible damage, missing panels and required corrections. Material appearance should be assessed using the agreed specification and samples, not an uncalibrated screen alone.

Make handover a recorded decision

Agree who attends and what evidence is required. Compare the delivered scope with the approved documents, and obtain the relevant technical checks and operating information from the responsible people. A marketing team’s visual inspection cannot replace specialist sign-off.

Walk through actual tasks: welcoming visitors, operating the demonstration, accessing storage and entering meetings. Record issues with an owner, response timing and agreed action. Keep any incomplete or restricted area under the contractor’s appropriate controls until it can be released.

Confirm how to contact event support and who may authorise changes. Retain the current documents and issue record for the event and subsequent dismantling.

Plan dismantling and future use

Confirm the actual move-out period, appointed teams, handling, return transport and packing responsibilities. Follow the applicable dismantling method; the safe sequence may not simply be the installation sequence reversed.

Record condition, missing parts and repairs before storage. If the stand will return at another event, check the new plot and requirements rather than assuming the last configuration remains suitable.

Frequently asked questions

How long does assembly take?

The programme depends on the structure, crew, services, access and products. Obtain a project-specific sequence and resources rather than a universal setup time or percentage saving.

What if a component does not fit?

Raise it with the responsible contractor and designer. Confirm the correct part and revision, then obtain the appropriate review before modifying the build.

When should AV be rehearsed?

Schedule testing around actual equipment and service availability, leaving time to resolve issues before handover. A fixed deadline copied from another event may not be achievable or sufficient.

When briefing Adam Expo Stand, include the event access information, products, services and handover requirements so responsibilities can be stated in the delivery scope.
