AutoCar Expo brings together the coach tourism and mobility sector, including vehicle manufacturers, bodybuilders, engine and equipment suppliers and service providers. Your stand should match the product and professional conversation you intend to support. A complete vehicle, a component demonstration and a booking software presentation require different spaces and delivery plans.

Start with the vehicle, equipment or service

For a vehicle display, provide overall dimensions, weight, access needs and the space required around doors, luggage compartments and any visitor interaction. Coordinate the vehicle’s arrival, positioning and departure with the organiser and delivery team before fixing counters, flooring or overhead elements around it.

For components, explain whether visitors will handle a seat, examine a technical assembly or watch a working demonstration. Record support, anchoring, power and handling needs for competent review. Do not assume a display can operate simply because it fits within the allocated area.

For software and services, plan a concise demonstration, readable screen, conversation point and an alternative if the connection fails. Separate customer questions where appropriate: operating needs, technical integration, procurement and next steps. The layout should help your team have those conversations without blocking access.

Compare stand formats against the same brief

These categories can overlap. A modular stand may be rented, and a bespoke design may retain reusable components. Do not assume portable equipment is always suitable for self-installation, or that a custom stand must be discarded after one show. Assess the actual equipment and agreed work.

Keep the stand budget separate from space rental

The organiser’s current booking page distinguishes bare space, pre-equipped stands, vehicle display arrangements and co-exhibitor fees. Check the applicable edition and obtain a written offer for your situation. A space tariff per square metre is not a quotation for a separate stand design and build.

For stand proposals, specify drawings, components, graphics, furniture, screens, lighting, transport, installation, support and dismantling. Record connections, consumption, handling, cleaning, storage and other charges separately where relevant. Identify taxes, estimates, exclusions and the party placing each order.

Prepare technical information and logistics together

Obtain the current exhibitor manual and ask the organiser which documents and specialist reviews apply to your proposal. Confirm permitted construction, material evidence, electrical work, accessibility, vehicle conditions and any demonstration restrictions. Do not use a hall ceiling height as the permitted height for your stand.

For a vehicle or powered exhibit, have the responsible specialists confirm the current requirements for its condition and operation, including fuel, battery and demonstration arrangements where relevant. Coordinate the organiser’s acceptance, access route and handling plan with the stand design using the current edition’s instructions.

• Identify the vehicle and equipment delivery contacts and their responsibilities.
• Confirm contractor access, unloading arrangements, available handling and required bookings.
• Sequence positioning, stand installation and product checks so completed work does not block later deliveries.
• Plan suitable protection and storage for packaging, tools and retained components.
• Agree an inspection and handover appointment before visitor opening.
• Record collection order, dismantling responsibilities and return destinations.

Work backwards from confirmed event deadlines and supplier commitments. Check space availability with the organiser, then agree dates for drawings, technical review, artwork, service orders, fabrication and shipment. Get those dependencies and the time needed for any revisions in writing.

Make the presentation useful to professional visitors

State the product category and practical benefit clearly, then use demonstrations to answer relevant questions. A component supplier might show an installation detail; a coach supplier might explain a specified configuration; a service provider might demonstrate an actual workflow. Identify what is a working feature, a sample or a visual representation.

Keep graphics readable and inspect lighting on representative finishes and screens. Allow room for staff explanations, waiting visitors and product access within the agreed layout. Technology should support the demonstration, with a fallback available; it is not evidence of a better result by itself.

Before the show, invite appropriate contacts with the correct edition, stand number and meeting purpose. During it, record needs, discussed products and agreed actions through your approved process. Assign follow-up to a named colleague and honour the promised timing. Measure qualified discussions and later opportunities separately from attendance or giveaway counts.

Can a stand be reused at the next event?

Check component ownership, condition, storage, transport and a feasible configuration for the next allocated plot. Reuse depends on those details and the new event requirements, rather than the stand’s marketing label.
