Modular exhibition stands in Germany need a workable configuration, current event checks and a coordinated delivery plan. Reusable components can support different appearances, but they do not automatically fit every plot or technical requirement. Confirm the products, visitor activities, services, assembly responsibilities and complete costs for each event before approving a system.
Modular exhibition stands in Germany: plan the actual events
Start with confirmed bookings and the work the stand must do. An industrial equipment demonstration, software presentation and product sample display have different needs. Compare the allocated dimensions, open sides, access, meeting requirements and service positions before choosing components.
Build a configuration schedule for your German events. Show which parts are reused, which are added and which remain in storage. Include preparation and transport between shows. A kit that fits one floor area may still fail another layout because of its shape, entrances, columns or required activities.
Choose a system with documented limits
Ask for the manufacturer’s system information and the supplier’s proposed bill of materials. Identify permitted connections, supported accessories and relevant installation instructions. For example, OCTANORM’s octawall range includes different aluminium frame variants and connection methods. The product specification matters more than the broad label “modular”.
Separate portable displays from a complete exhibition stand with equipment and services. Tool-free connectors do not make every configuration suitable for self-assembly. Large, elevated, suspended or outdoor proposals need review appropriate to their structure, use and location; do not assume that an indoor kit is suitable outside.
Use current venue and event information
Collect the technical regulations, event supplements, allocated plot and current service information. Have responsible specialists review the proposed configuration and identify required documents, submissions and conditions. Keep the applicable edition and accepted drawing set visible to the project team.
Messe Frankfurt’s builder information brings together technical documents, approval information and service guidance, while warning that individual events can have different requirements. Use it for a Frankfurt project alongside the event’s own instructions. It is not a Germany-wide permission or a substitute for another venue’s rules.
For Hannover Messe, our dates and stand planning guide points to the announced next edition and current organiser documents. Confirm your actual event before using a calendar, a previous approval or an old hall plan.
Review the layout before approving production
| Layout check | Question for the proposal review |
|---|---|
| Approach and access | Can the intended visitor understand the offer and reach the relevant product? |
| Displays | Are supports suitable for the samples, weights and handling agreed? |
| Demonstration | Is there space for operation, viewing, staff and specialist requirements? |
| Meetings | Can the intended conversations happen without blocking other activities? |
| Storage and services | Can staff access supplies, equipment and agreed connections? |
| Reconfiguration | Does the next layout work with the same actual components and graphics? |
Use realistic plans and views, including equipment and furniture in use. Check graphics at their intended size. Request samples or a trial assembly where they resolve important uncertainties. A rendering helps communicate the proposal, but it does not establish stability, availability or technical acceptance.
Compare hire, ownership and complete delivery costs
Rental and ownership are commercial arrangements separate from modular construction. Compare them over the same confirmed event calendar and activities. Identify design, components, graphics, furniture, equipment, transport, handling, installation, support, removal, storage, repairs and adaptations.
Keep participation charges and services ordered directly visible in the total. Use the European stand budget guide to check cost headings. Ask which amounts are firm, estimated or excluded, and compare the same currency and tax basis.
Test a reduced-event scenario if future participation is uncertain. A reusable kit can still incur storage and adaptation costs when events are cancelled. There is no universal number of German appearances after which purchase becomes cheaper or financially profitable.
Coordinate freight, access and installation
Request package dimensions, weights, identification and handling needs. Confirm route-specific transport, site access, unloading, empty-packaging storage and collection. Determine documentation for the actual route and goods with the relevant freight specialist.
Link the stand programme with product and equipment deliveries. Agree who unloads, positions, assembles, connects and checks each item. For a Frankfurt event, the venue’s builder information also covers vehicle registration, passes and logistics services; confirm the current event arrangements before dispatch.
Plan technical review, artwork, preparation, packing, delivery and handover against confirmed deadlines. Avoid a general promise that a modular stand assembles in minutes or needs only two people. Ask for the proposed crew, method, duration and dependencies for your configuration.
Make responsibilities and communication explicit
Confirm the contracting entity, named project lead, installation team and any specialist partners. Request relevant completed projects and an explanation of the supplier’s role. Ask who communicates with the organiser, manages submissions, orders connections and approves changes.
Agree the languages needed for drawings, instructions and project communication with the actual recipients. Do not infer local capability from a German website or assume a supplier owns workshops in every city. Apply the same evidence and scope checks to Adam Expo Stand.
Check handover and preserve the kit
At handover, review layout, components, finishes, graphics, installed services and demonstrations. Record outstanding items and support contacts before opening. Give the staff the instructions and escalation routes needed to use the stand as agreed.
After the event, record component condition, dismantling, packing and destination. Authorise repairs and identify missing parts before the next booking. Verify the following layout and update graphics as needed. A reusable structure does not guarantee a fixed service life or eliminate maintenance.
Report reuse and results accurately
Track retained components, actual uses, replacements, waste and relevant transport data. If making environmental comparisons, use a defined method and project boundary. The word “modular” alone does not prove a lower carbon footprint, zero waste or recycling after the event.
Review useful meetings, qualified enquiries, completed follow-up and reconciled costs against your objectives. Keep forecast opportunities separate from realised attributed contribution. Neither a reusable system nor a particular visual feature guarantees commercial performance.
